ACCESS: I have shared my sheet with a collaborator but he only has VIEW ACCESS
Hi,
Has something changed with Smartsheet access? My collaborators only get VIEW Access even though I set them as EDITOR when sharing.
Has something changed?

What type of plan are each of you on?
-
Hi Paul,
I am on the PRO Plan with 1 licensed user.
-
ok,... I see that this is the problem. I need to upgrade my Plan.
-
You're correct - sharing in a Pro Plan is different than the other plan types. With a Pro Plan, collaborator you share your sheet with will need to have a license on your plan in order to Edit sheets.
Here's more information:

Hi Genevieve,
We have several Pro licenses as well and I just verified an external collaborator (non-paid license) is rendered in VIEW only mode as well even with the sharing set to Editor. Q?: Why does your pricing page state the following:
- Your website pricing page Sharing section infers/states that the Pro account allows Collaborators (view/edit) up to 10 per object with the balloon help of:
- "Share sheets, reports, and dashboards with colleagues WITHOUT requiring them to have a paid account. You determine whether they can edit or only view these items.

Hi @BobP
The pop-up you're seeing in the in-app explanation of pricing is is a general explanation of sharing, since most plans allow you to share sheets with Editors that do not have a license. However next to the Pro Plan limit of "up to 10 per object" I see a little "1" or indicator to note that Pro Plans have slightly different rules. Is there a sentence at the bottom that explains these collaborators need to be licensed?
Additionally, can I ask what browser you're using to access the Plan window? I see a different version of the plan explanations that is more clear:
The pricing page on the main Website is able to expand more on most features as well: https://www.smartsheet.com/pricing
Cheers,
Genevieve

Hi Genevieve,
Thanks for the reply. I have multiple browsers but I believe I took that screenshot while I was using Chrome build v116. The other key part is I was logged into my free user plan as my test user/test external collaborator (since I'm not the IT admin at my company and thus I cannot create a test email account on/in our email server). When I click the upgrade button while logged in under my free user plan, the upgrade button renders a different pricing plan page than what's on your commercial website pricing page. Your commercial website pricing page doesn't reference collaborators like the Free plan upgrade pricing page.
I did see the footnote reference with the 1 indicator and to answer your question: No, the footnote doesn't state the collaborators must be licensed. See attached image.

Hey @BobP
Thank you for clarifying! I'm unable to find the same upgrade screen as you see - I'd love to find where this is located so I can pass along your feedback and we can ensure all screens display the same data. My first screen capture is from a Free account as well, for a default US region account.
Are you using the EU or GOV instance of Smartsheet?

This is annoying as heck! I literally just bought the pro plan because everything appeared as if i could have collaborators do what they need to do, which is update statuses and comment. So you're saying that's not accurate?? Sounds very bait and switchy to me
-
You can still have collaborators update statuses and comments on the Pro Plan, these collaborators would just need to be licensed on your specific plan.
The Business Plan is a better choice if you need free collaborators and users on a different plan to update sheets.
Cheers,
Genevieve

Licensed on the pro plan meaning paid license?
-
Hey @LesliePaulus
Yes, exactly. You can find out more from the Pricing Page that has details on all plans, here:

Hello @Genevieve P.,
I am having the same issue as reported above in that I only have view access to a document that is shared with me. Both the document creator and I have Pro accounts. I can see that permissions have been given to me that show I have edit access. But when I access the sheet, I have view only status. Any thoughts on how to resolve this issue or what may be causing it since we have ruled out pricing as an option?
Thank you,
Dan

Hi @MP Dan
I hope you're well and safe!
Are you both on the same account/domain?
I hope that helps!
Have a fantastic week & Happy New Year!
