Disable user's ability to start trials

We just had a licensed user who is not a sys admin start the trial for Data Shuttle. We do not want users trialing things without our approval first. How do we turn that ability off?

    To clarify the "why" - we want a sys admin to be available to be part of any trial so we can be knowledgeable of the products, as well as being part of the evaluation process.

    System Admins will have full visibility into any Data Shuttle workflows that are created when one of your users initiates a trial - here's the Release Note that outlines what they can see and the actions they can take to manage these workflows.

    For System Administrators:

    As a System Administrator, you have four avenues for visibility into the evaluations on your account.


    Evaluation notifications: When the first user saves a workflow, Data Shuttle is activated for your plan in evaluation mode.


    Weekly digests: In addition to the initial email, you receive a weekly digest with updates for 30 days, summarizing the ongoing evaluations and their benefits. 


    Workflow management: You can archive workflows created at any time. As a System Administrator, you’re expected to archive any remaining workflows at the end of the evaluation period.


    Plan Insights: You can view usage data including the total number of workflows created, rows updated, executions, active users, errors, archived assets, and more. Here you can also see the start date of your evaluation and how many days are remaining.

    This doesn't answer my question. Right now, we have someone evaluating it, but neither of the admins are where we can be part of the evaluation so that we understand it, it's business impact, potential use cases elsewhere in the company, etc. We don't want users activating things without asking us first so we can plan accordingly. How do we do that?

    The notifications and reports listed above are set up to alert your System Admins so they can be as involved as they would like, and so they know who to reach out to. For the questions regarding your specific company and business impact, the user evaluating the feature would need to answer those for you.

    If this is not enough visibility or information regarding what they're building, I would recommend reaching out to your Account Team about this feature and your specific plan.

    I get what you are saying, but this is still not helpful. We do not have bandwidth right now to be part of the user's evaluation. We cannot go on a single user's eval to determine whether or not there is a large enough business case to warrant purchasing the add-ins. Smartsheet should make it easier, by having users request a trial that has to be approved by an admin before they start. As it stands, we won't move forward with the purchase, in large part because none of the admins have any time to gain any insight at this point, so it feels like a wasted effort on the user's part. I do not need this escalated, just want to point out that this should already be a capability within the system that is easy for admins to turn on/off as per individual business needs.
