Best Way to save Meeting Minutes in Smartsheet

I am looking for recommendations on the best way to save meeting minutes in my Smartsheet project plan and/or work space. We are starting a 5 - 10 year initiative that will include my core team, stakeholders, and team members from other sites in our North America operations. I will have regular meetings with the core team and in the future we will have meetings with other locations throughout North America.

How do you recommend I organize our project meeting minutes so that they are easy to find and do not get lost over the course of 5 years?
