Reports - removing attachments from published reports

I really like the Reports feature and want to provide clients with a published link so they can see what's going on with their data in real time. We record contract data and track the progress of the contract over time. However, we do not want them to see attachments on the records we use for our own reference. I note that Reports does allow the column of attachments to be hidden in the colum on the left BUT it actually retains attachments on the right of a published report where they can be found anyway. I have looked at a workaround of creating a duplicate sheet using formula etc but this is annoying to have to use (unless there is a really easy way I'm missing). I've also looked at displaying a Report as a Widget within a Workspace but this is functionally not that useful. If there is no workaround we will just store attachments elsewhere and not on the row as the easiest way to avoid duplicating any work when we create the row record in the first place. Thanks

@neilw1976 Does this solve the problem please leave an 💡 Insightful

🚨 Be Careful — People who view the Report must have access to the underlying sheet. This means that if you share a report with clients using a published link, they will still have access to the attachments and other data in the sheet, even if the attachment column is hidden in the report.

    1. With Dynamic View we can customize exact informations. Do you know?
    2. If this are complex projects per Client maybe a Dashboard would be a possibility.
    3. Or as you mentioned store the Data somewhere (OneDrive or…) else and add the link into the row .
    4. There is a new file library coming up in smartsheet

If my comment helps you, I appreciate a 💡

  • Hi Nico

    Many thanks for your suggestions.

Dynamic View is expensive I believe and probably unnecessary for the very minor adjustment we need? I was a bit concerned on your comment that a published report would show underlying data? I have this as read only and can only see that comments and attachments pull through but can't see any other data other than what's on the report itself, and can't see a viewer would see the underlying sheet data if this is filtered out on the Report?

A link in the cell is a good idea as we then just ignore that column from Reports, thanks.

    Regards

    Neil

@neilw1976 do you have the system in place already? normally a person need to be shared to the sheet in order to see something in a report otherwise its empty, of course if in the sheet are not confidential information its not an issue.
