Is it true that as of January 2025 Smartsheet is removing all free access?

I'm being told that Smartsheet is now requiring all people who access a Workspace or Sheet to have license. Is this true that you are removing all free access? Can you comment or clarify?

    So as of January, Smartsheet is moving to a User-Subscription model. What does this mean? If you have a free license, you will have up to 30 days to switch to a paid account. If you are a current Smartsheet customer - it means that at your next renewal, you will move to the new model. In the new model, there will be users (those who are are paid for and can do any work they want to inside of Smartsheet) and subscribers - those who can view items inside of Smartsheet, but cannot comment or edit.

    So saying "there is no more free access" is not true. Smartsheet is just moving away from the legacy collaborator model is all.

    What are the work arounds? Well - you do not have to have a paid account to access a WorkApp or do work inside of a Workapp. So continuing to have people who you have traditionally had on free accounts change them to work out of WorkApps instead of working out of the workspaces directly.

    Yes and no! It's not that easy! Smartsheet is moving to a new model that matches the industry.

    If you need to edit a sheet as an internal user, you must have a paid license, but there are workarounds and exceptions.

    Workarounds, such as Forms, Dynamic View, WorkApps, or Update Requests, might be utilized.

  • Yes it is true.

    My company loved to use smart sheets for data displays and free interactions with larger 'licensed holder' managed data sets. Almost all of our collaboration features have to change and we had to move away from smart sheets for many things. Any edit or shared commentor or higher status will require a license.

    Some things that do not go against the license change are:

    • anyone can interact with a form
    • anyone can interact with a publish for everyone dashboard or report (but it truly is EVERYONE no privacy)
    • Update requests for single cells on a sheet

    I know a lot of this won't work for everyone and I am rather disappointed with the license change.
