Smartsheet license
Hello,
I heard that smartsheet will not allow access unless you have a license. Right now my company uses forms for our customers to fill out to request equipment. Our customers do not need a license to fill out the form or submit the request. Is this true? Will my customers have to have a license moving forward to fill out a form and request equipment?

Yes, that's true, they still wouldn't need a license to fill in forms. (same for your internal users)

With the new pricing model we have looked at this extensively.
I have 5 licenced users as I don't want many people to have access to change / create etc. as it just causes duplication and lack of standards.
However, we had about 197 "free2 users viewing the data etc. plus editor rights.
I believe the need for a paid membership is if you want to edit a smartsheet or report etc. so anything you have to be shared with.
Forms you can use direct with the link, no sharing so remain free.
Dashboards you can publish so can be viewed direct with the published link, no sharng so reman free.
We have then taken the option to purchase the Dynamic View module as a) it gives us lots of additonal control features and b) once purchased it is free for users to use. So all my users no longer get shared on a smartsheet by acces the data through dynamic view (so no additional membership fees).
Dynamic view means I can limit the rows they see - for example I can only see records where my email (whoever is using the dynamic view) = Raised By Email (for example) so Sue would see raised by Sue and Neil would see only raised by Neil.
Dynamic view means I can limit the columns they see and whether they are view only or they can amend. I can also determine if they can add new records (no !!! go and use the smart form) can view and/or add attachments.
It is a lot of work to migrate our 715 smartsheets to using dynamic view but my users love it. They can write their own filters, tun the colours and text wrapping on and off and can ask to just see the data they need that is relevant to them.
The Raised by ME views I have created where your email matches the raised by email, means people can look up any records they have submitted and see the progress and updates and each department responds to the request, which in turn reduces the "chasing" emails or calls ….. "Has anything been done with my request yet).
We love it and find it great both in features and in cost effectiveness.
The ability to restrict which records are seen and which columns is especially delightful when working with external companies and instead of having a smartsheet per company we cn have 1 but with restrictive views
Sorry for the long reply but think it is a great addition although it needs work regarding reporting.
