Government Utility Projects and Asset Records

Hello Smartsheet Community, I work for the City of Minneapolis, in Minnesota, and I’m looking to reach out to see who is working for governments (local, county, state, or federal) while incorporating Smartsheet into their utility project management processes. Smartsheet is restricted from its privacy policy to release any specific information about clients so I’m reaching out to any of you that do the same type of work to network and bounce ideas off each other; a Government Support Group per se. Basically, I supervise the daily tasks for the City of Minneapolis Traffic and Parking Services, Planning and Design group. Our group captures the as-built records for Traffic assets through project and asset management. Additionally, our team handles all the Gopher State One Call utility locate requests for Traffic's assets. If anyone is out there doing similar work and would like to connect please message me.

    This is Dan Davis from Peoria, AZ (Phoenix Suburb).

    At the time I started using Smartsheet in 2015, I was Supervisor of an Operations support project group serving our Water/Wastewater divisions and our PW/Facilities Management Division.  The organizations have since split with Water/Wastewater in the Water Services Department and Facilities Management in Public Works (a longer story behind that).  Both organizations continue to use the Smartsheet systems I developed.

    My need was not Asset management because we had another system doing that.  I needed a way to assign numbers to projects, track project info, assignments, priorities, status, etc., Track FY budgets and carryovers (Programs and Projects), and track project financials (contracts, PO's, invoices, and other charges/credits).  I've developed a system that works pretty good, and can talk with you more if that is what you are looking for. 

    Government finances can get very complex with multiple funding sources on a single project and complex funding number strings.  There is no packaged project management software product that can handle this complexity.  If I was a more experienced Access data base user I may have been able to build it there, but I'm not, so I didn't.  The Smartsheet system made it surprisingly easy.  Even creating reports from multiple sheets has been an easy thing to do.

I’m sure you’re in the same boat right now though with closing out projects and year-end tasks so being busy with that I’ll have to look towards next month sometime to get back to this conversation.
