Copy Action Items to separate list when identified in Meeting Minutes
We are capturing individual action items with a checkbox in our meeting minutes sheet. Once actions are identified, we're using the "Link from cell in other sheet" to pull the data from the meeting minutes sheet and into the action items sheet. Since this is a manual step, we'd like to simply check the action items box in the meeting minutes sheet and have that row automatically copy into the action items sheet. Is there a formula that will perform this step for us?

Hi,
It depends! Are you creating a new sheet for each meeting?
Can you describe your process in more detail and maybe share the sheet(s) or some screenshots? (Delete/replace any confidential/sensitive information before sharing) That would make it easier to help. (share too, andree@getdone.se)
Have a fantastic week!

I'll walk through the process with you. Our meeting minutes are in one sheet and action items are in a separate sheet. The meeting minute sheet contains a row for the discussion item and then three checkboxes at the end of the row for Action Item, Risk, Decision.
When the Action Item box is checked, we would like for that row to automatically populate in the action items sheet. This would eliminate the need for us to link the row between the sheets.

Ok.
The simplest way would be to use cell-linking or cross-sheet formulas.
Would that work?

Andrée

I am using cell linking now. I was looking for a less manual way.
-
Ok.
Then the options are cross-sheet formulas or a third-party integration like Zapier to copy/move the row(s) to the action list.
Would that help/work?

Andrée

Would you be able to share the best cross-sheet formulas? I have yet to figure out a successful one. Thanks for your quick responses!

Just as another idea, that may or may not suit your needs, create an alert that has a link to a web form for the other sheet. So if you select 'X' it sends and alert with a link to a web form allowing you to enter the action items. Doesn't solve the issue of getting data to auto transfer, but it may speed up an already manual process.

Another suggestion... SmartSheets own template set for meetings is brilliant:

I agree, the template sets, in general, are an excellent starting point!
