Color coding calendars in smartsheet
Hello
I have created a Grid view for a project plan with different groups separated by a work stream header, I want to transfer the grid view into calendar view yet color code the tasks that fall under their respective work streams.
For example can I filter the Performance Management process to appear as a specific color with all related activities a specific color

Hi Jennifer,
You can set the colour for tasks in gantt, calendar and task view by right clicking on the line and selecting a colour, task by task (a real pain).
Alternatively, you can use conditional formatting rules to apply the format, based on the value in a column (if you don't have a workstream column, you might want to pick one for the purpose). Just set the TaskBar colour, and leave other settings alone, apply format to entire row.
Regards,
Andrew

Thank you! This is EXACTLY what I needed today to make the color coding show up in both my Grid View and my Calendar View!

I am trying something similar. Conditional formatting is not translating to the calendar view. It shows up in the grid view. Where am I going wrong? Also trying to add the calendar view of the report to the dashboard. How can I accomplish that ?

The Calendar View of a sheet will look at the Task Bar colouring to update the colours in the Calendar (see the image from Andrew above). Note that you will need to have the formatting apply to the entire row in order for the Task Bar option to show. (See: Apply Formatting Automatically with Conditional Formatting Rules).
If you are still having trouble with this, it would be helpful to see a screen capture of your current conditional formatting rules open, like the above image.
In regards to adding the Report as a Calendar View, you want to get the Published Link of the Report (see here) and then add this link as a Web Content Widget (see here) to the Dashboard.
Cheers!

Hello Smartsheet Genius
I have a report containing 5 TV Projects.
In Report/Calendar view, I'd like to see the projects differentiated by colour. That way, in Calendar view, the team may have an overarching view of each day's project & how they overlap.
In this screen cap, all 5 TV projects look the same, as they are the same colour. Is there a way to show a specific sheet in a chosen colour? Example all data lines coming in from TV-spot-3 show as Blue / all all data lines coming in from TV-spot-4 show as Green / and so on.
Thank you.

Hi @Melissa P.
Report formatting comes from the underlying sheets.
This means that if you set up a specific colour for your Calendar on the sheet level, then it will pull through and show that colour on the Report Calendar for that one sheet as well!
I would suggest setting up a simple Conditional Formatting rule that says if the Primary Column has text, apply "this colour" to the Task Bar. It will update your entire sheet with that one colour in the Sheet Calendar. Then you can go to your next sheet, do the same thing, but pick a different colour.
Let me know if this works for you!
Cheers,
Genevieve

Hello all
I could use some help with this. My sheet I use in Grid and Calendar for vacation days.
I have applied a conditional format to the Task bar based on a value in a certain column, But that color does not show on Grid or in Calendar only in Gantt and Card. How do I get it on both?
The original sheet I used was a template- Team vacation planner.
Any help is much appreciated.

Hi @Gedwar
It sounds like you have the formatting correctly applied to the Task Bar, which is a feature that does not exist in the Grid View (there are no "bars", only rows).
For example, in Gantt view, the Task Bar is the bar that shows up in the Gantt chart on the right:
You'll notice that the text itself is not coloured (e.g. "Erin Out"), but the Bar is. Are you looking to colour the cells that contain text? If so, you'll want to add another rule that applies to either the Entire Row or to specific cells:
Cheers,
Genevieve

I want to color code everything so that in Calendar side I can see the different people with different job classes.

Hi @Gedwar
Great! In that case you can adjust your current rules that have the "entire row" selected, and use the paint can to add colour to the entire row (not just the task bar).
If this hasn't helped, can you post a screen capture of your current formatting rules?

That worked, Thank you

My conditional formatting in Grid View is not translating to Calendar. Any assistance is appreciated.

I hope you're well and safe!
You'd use the Task Bar color option for the Calendar View (bottom of the options)
