Salesforce & Smartsheet integration - access to other users' sheets

Hello All

I've configured the integration between Salesforce org and Smartsheet account. During configuration process I provided Smartsheet account with SysAdmin priviliges (this is required step). Let's call this account "TEST_Smartsheet_admin"

Now I'm logged as regular end-user in Salesforce and I'm trying to add existing Smartsheet sheet to Account's related list. What I can see is a list of sheets owned by "Test_Smartsheet_admin". And only those... What I would like to achieve is to be able to see a list of sheets owned by other users as well. Selectively.

Typical scenario:

1) I have an account in Salesforce called "john.smith@salesforce.com" owned by John Smith

2) The same person (John Smith) has also an account in Smartheet called john.smith@smartsheet.com

3) I would like to allow "john.smith@salesforce.com" operating in Salesforce to assign sheets belonging to "john.smith@smartsheet.com".

Any ideas how to achieve it?

Hi Jacek—

The best way to handle this is to, using your example, add "john.smith@salesforce.com" as an alias to the "john.smith@smartsheet.com" Smartsheet account. This way, sheets shared to either email address will be accessible once "John" logs in to "john.smith@smartsheet.com."

The functionality that lives inside the Salesforce application is an area we'll be making enhancements to in early 2017. One thing we will improve is how you choose which Smartsheet acount that you're using from inside Salesforce.

@Shaine - still keeping my example: after configuring the connector from Salesforce side I can browse only sheets that are owned by TEST_Smartsheet_admin. So probably I should add TEST_Smartsheet_admin alias to "john.smith@smartsheet.com" ?

I tried to share John Smith's sheet to TEST_Smartsheet_admin - and it worked. I mean from Salesforce side I was able to list sheets owned by both:

- TEST_Smartsheet_admin

- john.smith@smartsheet.com

Correct, you'll either need to add TEST_Smartsheet_admin (or whatever email that account is tied to) as an alias...

...if you don't want "john.smith@smartsheet.com" to be a single account associated with TEST_Smartsheet_admin, you can share all of the sheets from one account to another. You can do this either individually or by using Workspaces.
