Creating a Time sheet form which shows existing projects as drop down

I am evaluating Smartsheet and one of my use cases is for my team to be able to enter time spent against projects which have been approved. I am trying to find a way of being able to include in the form a reference to my project master sheet but can't seem to find a way to achieve this. Has anyone been able to solve this use case? The existing time tracking forms are not allowing me to link the timesheet entries to the relevant projects.

    Hi @Frederic Vaeremans

I hope you're well and safe!

Will the form not be on the same sheet as the projects?

Can you describe your process in more detail and maybe share the sheet(s)/copies of the sheet(s) or some screenshots? (Delete/replace any confidential/sensitive information before sharing) That would make it easier to help. (share too, andree@workbold.com)

    I hope that helps!

Be safe and have a fantastic week!

  • Hi @Andrée Starå

    many thanks for your response.

I have found a time tracking template which I am trying to link up with a project portfolio sheet. The idea is that my team would submit on a weekly basis the hours they have worked on one or more projects through a form. This information would go to a central sheet which I use to apply day rates and then cross charge internal business units.

I want the form to have a pre-populated list of projects currently active. This list will change all the time. I cannot therefor create the drop down field manually in the form builder. I need to somehow join this form field with the field in my master project list. How can I do that?

    thanks

    Excellent!

    You're more than welcome!

Wouldn't it work if you keep the Active list maintained in the sheet and a drop-down list, and it would reflect that in the form?

  • My form is the data source for my sheet. I will have a look whether Smartsheet allows me to create a form from a sheet and pick up the dropdown in that way.

will let you know how I get on
