Unlicensed Users

For new users to Smartsheet, do they need to sign up (“Don’t have a login? Sign-up”) or can they just select login with your company account?

    It depends on how you want to manage this on the Admin side. You can assign new users (either licensed or unlicensed) in the Admin center and notify new users when they've been added.

    Or you can set it up where any time someone creates a new account from an email with your domain name, it automatically adds them into your account. This can be found in the Admin Center under User Auto Provisioning.

    If an external vendor is sharing a smartsheet to someone in my organisation and does not set them up as an unlicenced user under the vendors SmartSheet account (i.e. sends a sharing link to the person's work address instead), is there any way the recipient can opt to be an unlicenced user instead of ending up with a full access trial account (they just need to see and edit row data on the shared sheet)?

    Hi @peverist

    If this email address has never had a Smartsheet account before and then it's shared to a sheet, Smartsheet will default to a free 30 day trial to allow this new user to experience Smartsheet for themselves while they collaborate.

    They can simply use that time to edit the data they're shared to, but it gives them extra abilities over a free account for the first while to introduce them to Smartsheet. Then after 30 days they will become an unlicensed, free collaborator by default. See: FAQ: Smartsheet free trial
