Resource Planning


We use the SmartSheet Resource Management tool and we'd like to place holds for certain team members throughout an extended period (say a quarter). However, in order to have their time accurately depicted in the RM tool any LIVE projects associated, we would want to 'debit' from that hold.

For example:

John Smith works on Client A and we want to hold 60% of his time.

We developed a planning sheet that represents this and shows up in 10K as 'planning'.

However, John then is working on projects for Client A...

Project 1 is 7% of his time, Project 2 is 50% of his time and each is represented through their own respective SmartSheets. That leaves a remaining 3% of time that we would still want to show up under the hold.

Is there a way to automate that deduction from the hold? Instead of having to look across multiple sheets or in the RM tool to see where he is allocated and then manually update the planning sheet?

    No, I don't believe there's currently a way to automatically do this through Resource Management (please submit your feedback to the Product team through this form, here!)

    Depending on how your sheets in Smartsheet are set up, there may be ways to use a formula that looks across sheets to bring back the percentage currently in use in the other sheets, or you could use a Report to gather together those Client rows and then manually update the planning sheet via the Report, if that helps.
