Generate Documents via DocuSign

As I know there are two ways to generate documents from the sheet to DocuSign the Fillable PFD and this should have fields to be added and the other way to is E-sign and that needs to choose Template from DocuSign.

My question is do we have another way to generate a document as PDF without fillable fields, for example, if I have a file PFD submitted as a ticket to Smartsheet and nothing needs to be filled only I need to set up is a Signature box and signed date? appreciate your support.

  • Hi @Hana Attia

In order to use Document Builder, the PDF you upload will need to be a fillable PDF.

To create a Docusign mapping you will need the following three things:

    • Access to a DocuSign account.
    • A fillable PDF template.
    • You must have created a DocuSign template using the fillable template and have assigned roles for your users.

See: Create and send documents out for DocuSign signatures

Even if you only need a Signature Box and Signed Date, these are still fields that would need to be filled (albeit filled by DocuSign, not Smartsheet data).

Additionally, you must have a name and email address for each person who will sign the document. You can use either two text/number fields from the Sheet or a contact column that contains a name and email address.

If you just need to take a file that was uploaded to Smartsheet and use this in DocuSign without populating the PDF with any of the Smartsheet row data, I would suggest using the two programs separately. You can set up an alert when an attachment is added in Smartsheet. Then download the attachment and upload it in DocuSign.

@Genevieve P. is there a way to map the docusign file name as you can inside of Smartsheets? I have all of my mapping and account links set up, but when I generate through docusign the file name sent out is the name of my template used. My mapping is set up in Smartsheets to name the files.

  • Hey @Caleb W

You're correct, you cannot currently modify file name using document builder in Smartsheet, you'll need to do so in DocuSign.

@Genevieve P. Do you know how to do that in Docusign? Can that me automated?

  • Hi @Caleb W

I have to admit I'm not very familiar with the ins-and-outs of Docusign! I found this Docusign article that identifies you can make the Envelope customizable if that helps: Use Merge Fields in the Template Email Subject to Customize Envelopes
