my problem is that the smartsheet has around 3000 lines ... so it's nearly immpossible to work with this sheet. That's not the main problem because our users just work with sights an reports to this sheet - no problem with speed.

Most of the lines are finished. But we have to store them for further activities. So it would be possible to move them to a archive - smartsheet ... is there a way to automatize this process?

    Hi Peter-- There isn't a way to do this in Smartsheet automatically, but you could probably use a third-party service like Zapier to move rows to another sheet when complete. You'd need to set up a trigger in your sheet (such as a checkbox column) and using Zapier, make a process that moves rows from one sheet to another when the box is checked.     In regards to Zapier:

     

    Be aware that the "Update Row" trigger from Smartsheet will trigger on other rows being deleted, moved, or added.

    If not set up right, this results in many undesired results.

     

    Zapier has a "filter" function which (nearly) eliminates this problem but you must be careful during implementation and testing.

     

    Zapier's Devs know about this and block what appear to be spam or bulk transactions.

    This also may cause the Zap to fail because of limits on transaction rate imposed by Smartsheet. 

     

    Once you have tested the Zap fully, contact the Zapier Devs to raise the limit on the block (prove to them you know what you are doing) , and all will work fine.
