I checked the Activity Log and confirmed that actions like "Send Row" or "Send Sheet as Attachment" are not recorded. Even though there's an "Automation" filter, it only captures automation rule creation or updates—not actual executions such as “Request Approval” or “Alert Someone.”
From what I see, Smartsheet doesn’t seem to log these email-triggering activities at all, except for "Approval Requests," which do have a menu to view their history. I’ve also checked the Smartsheet API and could not find any method that exposes the history of emails sent through automations.
So when the original post says “this data is already in the back end of the system,” I’d really appreciate clarification from a Smartsheet employee.
Additionally, in the Admin Center, there is a control under
Security & Controls > Permissions > Notifications and Requests
that allows admins to manage who can receive notifications and requests from people in your organization. However, in practice, organizations often need to allow these actions to ensure workflows function—particularly automations like “Request Update,” “Request Approval,” “Send Row,” or “Alert Someone.”
This introduces a security gap: even if an organization restricts sheet sharing, disables external publishing, or limits report/dashboard access, users can still use Smartsheet’s system-generated email functions to send sensitive row data externally. This effectively bypasses administrative controls meant to contain data within approved boundaries.
Because of this, it’s critically important for admins to have audit visibility into all outbound emails, whether system-generated through automations or manually sent (such as using “Send Row,” or “Send as Attachment”). Both types of emails can include sensitive row-level data, and the security risk is the same—data can be leaked, intentionally or unintentionally, outside the organization’s controlled environment. Visibility into what was sent, when, and to whom is essential for maintaining data governance.
Permission levels for blueprint created workspaces and folders
Hey team!
I work extensively on control center and blueprints. We have a completely automated process set up where project managers can create their own workspaces and project folders using blueprints by only accessing the project intake sheet (i.e., they do not have access to the control center program). The issue that I am facing now is in granting ownership to the person who fills in the intake sheet and hence creates the project folders. At most they are able to get admin access but if I need to give them ownership of the workspaces that they create, the control center Program Lead has to manually transfer ownership. This becomes difficult when we create multiple projects and the Program Lead has to track all the entries and grant access to each workspace to the respective project manager.
It would be really helpful if there is some way to automate this process!

Customer Support Needed: Cannot Transfer Ownership on a Deactivated User
A user was deactivated before we transferred ownership of their items. Although the user is listed under "Deactivated", we're unable to transfer ownership because Smartsheet is saying they don't own any items (which is inaccurate based on an older report we downloaded). The email is also no longer active so we cannot access it. Some troubleshooting steps we've already tried:
- Created a support case: a case was created over a week ago but no one from support has responded since we only have the standard support package
- Based on this Asset Ownership Overview artlcle, had a few people try to request access to the sheet to approve access: as a System Admin and Plan Asset Admin, never received any notifications requesting access even though the only person that had access was the deactivated user (who apparently now doesn't own anything)
- Purchasing an additional license to reactivate to user: although our license count increased, it still says we cannot reactivate the user because we don't have any available licenses (we haven't completed our true-up so not sure if that's impacting this)
Any assistance would be appreciated.

Re: Template / Themes for Conditional Formatting
Hello, I use a lot of conditional formatting logics across multiple similar sheets. As we make incremental changes, I often have to completely tear out individual conditionals and then rebuild them. If there are two changes/sheet and we have 15 sheets, I'm suddenly deleting 30 changes, which requires finding the old conditional in the long list, carefully deleting it, modifying the column type, then rebuilding the logic. It would be great if I could make the change once then "copy/paste" the relevant formatting rules to all the new spreadsheets.
Did Shortcut Widget Loose the Ability to link Dashboards?
I usually link my smartsheet dashboards directly with the Shortcut > Smartsheet Item > Dashboard, however I cant find any dashboards when I click to go link one. Is this just on my end or a permanent change?

Hi! I also don't see the option to only replace the background color. However, when I go to the Dashboard Theme menu and click on 'Add New' to Custom themes, my current, unsaved current color scheme pre-populates into the artifact fields - background can be changed from there. Does this functionality not perform the same way for you?

Not only is this an essential feature that is missing, it makes me sound like a joke to my organization when I demonstrate the closest feature is to setup a "data shuttle" so it can export an excel file that needs to be reuploaded and reformatted - or that a manual "save as new" copy needs to be saved into a sandbox - or a weekly export that would need to be reuploaded and reformatted from an excel document (no better than the weekly export) - with neither means to map columns to their types nor keeping previously established parent-child relationships.
