Is there a way to create a horizontal timeline for milestones based on the Gantt view data?
Re: June Question of the Month - Join the conversation and receive a badge
One community I've been proud to participate in is as a volunteer for Make-A-Wish Colorado. I since moved away from Colorado and haven't had a chance to reach out to MAW again in my new State, but they do such great work for a community of children and their families who deal with so much heartache from illnesses or conditions most of us are lucky to not have to deal with ourselves. And the community of volunteers are like no other group of folks I know, as all they want is to make a positive impact on that child and their family, no matter how brief that interaction may be. Those families are also the most grateful people you will encounter since they get to see their little ones forget about their troubles, feel special and blessed.
From an online community, I relate to @Ray Lindstrom's response of mostly being a 'lurker' in nearly all others. That is totally me!!! It's been amazing to me in some online communities to watch adults bully each other just for making simple comments and trying to participate. Such bad role models for any of them with children! So I, too, became a lurker to not be publicly insulted for no rational reason. But I love using Smartsheet and found myself seeking answers and trying to learn more about the powerful capabilities of this SW! Even being a lurker here I have learned so much. And the community does make it a safe place to ask questions without anyone making each other feel stupid! This fact alone made it a great place to come. When you add in the gamification of collecting badges and meeting others it makes it fun, too! And with each new thing I learn I get more excited about the platform, what I am learning and what other things I could learn to make my life easier at work.
Display Child Task Statuses When Grouping by Task Owner in Project Activity View
Description:
Currently, when using the Project Activity view and grouping by Task Owner, the statuses of child tasks are not displayed unless the parent task is manually expanded. This behavior makes it difficult to quickly assess the progress of individual tasks within a project, especially when managing large or complex task hierarchies.
In contrast, grouping by Status provides clear visibility of each taskโs current state, including child tasks. However, this comes at the expense of losing the organizational clarity offered by grouping by owner.
Enhancement Request:
I would like to request an enhancement that allows child task statuses to be visible or surfaced when grouping by Task Owner in the Project Activity viewโsimilar to how statuses are shown when grouping by Status.
This would:
- Improve visibility into project progress at a granular level.
- Eliminate the need to expand each parent task manually.
- Support better task ownership tracking and accountability.
- Enhance usability and efficiency for project managers and collaborators.
Optional Solution Ideas:
- Add an option to toggle visibility of child task statuses within grouped views.
- Allow "Separate Cards" functionality to be available across all grouping types.
- Provide a hybrid grouping feature (e.g., Owner + Status) to visualize multiple task attributes.
This enhancement would greatly improve task tracking and reporting, especially for teams managing projects with multiple layers of tasks.
Re: Welcome to the Project Management Office (PMO) Community!
Hi! I'm Claudia. Very happy to see this community here!
- How long have you been using Smartsheet? I first discovered it for a personal project, and have used it at two different workplaces during the last 10 years.
- How are you using Smartsheet today or planning to in the future? Our PMO has built multiple solutions for project, process and work management. We have automated processes using workflows, and extensively use formulas and links between different Smartsheets to feed our portfolio dashboards. We also have a dynamic portfolio where each team can see their project, budget execution, as well as a quick view of their resources allocations. Also, thanks to the formulas and links, we have been able to optimize our team allocations.
- What would you like to learn from your peers using Smartsheet for Project Management Office (PMO)? How are you handling the transition from having free editors and commenters to licensed users, are you transitioning some users to viewers only? Also, if you have Enterprise, what are the main benefits for a PMO?
Re: Sharing reports with data without even view access to the source sheet
I like to share reports because it is more customizable and would love to be able to do this with others not shared to the source sheet.

Re: Renaming Column Name in Report
It would be nice to have the option to rename a column in a report ONLY and not on the source sheet. sometimes different leaders want the report to reflect a very specific column name. and I dont want to change it on the source sheet because it pulls into calculations and links to other metadata fields and I want everything to match on the source sheet. but it would be nice to tailor report column names to specific needs.
Re: Datasources for Dropdown Menus
When creating a droplist list column it will auto populate with values already in the column whether in the same sheet or sourced from another sheet. However, after the dropdown list does not change thereafter. Most of the requests to auto refresh dropdown lists and use them in forms arise due to the inability of the dropdown list to be automatically updated. While this can be achieved with the premium data shuttle app and multiple third party products it should be a native Smartsheet function and it's absence is a major shortcoming.
Re: Successful Ai Prompts
What types of sheets are you looking at?
For example, if it's a project schedule, you could say something like:
"Summarize the information on this row.
Make sure to note:
- If the Task is on track to be completed by [Due Date].
- If the Task is flagged as a [Milestone].
- Highlights from any conversation on this row, across all comments. Don't include comments verbatim."
The key is to be explicit with your objective and criteria you want the AI to keep in mind. From there, iterate until you're happy with the output.

Allow Control Center Automation for Select or Create a Workspace
I would like a way to use Control Center automation on blueprints where I want to "Select or Create a Workspace". Currently, turning on Control Center automation is not possible if I want to select or create a workspace for my projects in said blueprint.
Re: Question about Formula
You would probably need a helper column to pull in the inventory value, but this column could be hidden. Then use conditional formatting for the highlights.
For the second question, that is a probably. Without more information, it is hard to say exactly. My usual way of cheating the system is instead of using the linking, I start out by typing in the formula =Index( Then I use the reference another sheet and select that cell. Back in that formula, I then remove the Index( leaving just the = and the reference. This can then be made into a column formula.
