System Admin or another role for Ability to View/Report on All Workspaces
Smartsheet needs a critical feature enhancement to align with industry-standard SaaS practices: grant System Administrators inherent visibility into and access to all workspaces within the organization. Currently, admins are severely limited in their ability to oversee and manage workspaces, relying entirely on individual workspace owners to grant access. This creates significant challenges for data governance, security audits, troubleshooting, and user support. In nearly every other SaaS platform, administrative roles have inherent oversight of the platform's data and resources. This is essential for effective administration and is a standard function of 99% of SaaS solutions.
Providing System Admins with the ability to view and access all workspaces, including the option to assign themselves or other users as needed, would dramatically improve Smartsheet's administrative capabilities. This would enable proactive management of data security, ensure compliance with internal policies and external regulations, and streamline troubleshooting and support processes. We urge Smartsheet to prioritize this feature request to empower administrators with the necessary tools to effectively manage their organization's Smartsheet environment.
Re: Custom Colors for Sheets
I'd like the ability to be able to use custom colors within sheets to distinguish parent/grandparent rows etc. The existing and limited color set is not always conducive to a professional visual present. Additionally, we often share sheets with clients for collaboration and project tracking and customize color on the dashboard to the client colors and it would be beneficial to utilize the same colors at the sheet level.

Resource Management Alert Notification of Over Allocation
I'd like to see a notification alert when adding a contact if they are over allocated somewhere else. Currently, the heatmap at the side only shows that a resource is over allocated, yet still allows you to schedule. There should be some sort of stop mechanism so this does not occur.
Having an alert that the contact we are trying to schedule is already allocated or over allocated, and for it to include all the locations and the owner of the sheet, would be extremely helpful. It would also be nice if the notification provided an option to send an email or comment to the other sheet owners that the contact is needed during the same time, and it would generate a conversation to discuss schedule changes, rather than just over allocating them.

Intake form with dropdown (or auto-adjust) for other language
Hi,
my company has several locations in different countries.
In 2024 I have built smartsheets with intake forms.
Those will eventually be used in different countries.
Some of the teammates in those countries do not speak English.
It would be fantastic, if Smartsheet offered a dropdown menu (or similar solution) where the user at the top of the intake form could select their language and the form would adjust to that selected language.
Another idea might be to have a general setting for the person building the smartsheet, that would allow to check an option to have smartsheet adjust automatically to the country's language.

Hi, we're a small/medium sized business and we've really liked using Smartsheet's email notification feature for communicating with all our stakeholders. The problem is that although I'm the one who sets up the sheets (i.e. sheet owner), the responsibility for answering stakeholder concerns is with a different role.
There really needs to be a way for Smartsheet users to designate a different reply-to address for these email notifications so that we can redirect the replies to a DoNotReply@OurDomain.com address.

I'm currently the owner of several smartsheets as I maintain the Automations/help troubleshoot issues etc..
However, if the business unit has automations that go out to teammates, if they hit reply instead of opening the Update request , it comes back to me as the sheet owner and I wouldn't be able to assist if it is specific to the business unit (which it would be).
It would be nice to be able to set the Reply address per sheet so you can have a shared mailbox that would receive the replies and the business could take it from there.

Let us assign the reply-to person. When a user receives an automated email with instructions, we want them to follow the instructions instead of just clicking reply and giving the problem to whoever created the sheet. This is not a big ask but a basic expectation.
