Re: How do you use Smartsheet with Microsoft Teams?
Though I am not an avid user of Teams as I mainly use Google Workspace, I have recently been experimenting with Power Automate (and Teams) as an extension of my interest in the Smartsheet API and Bridge App.
Candidates I can think of for integrating Smartsheet with Teams, which could be useful for different workflows, include:
Send Notifications to Teams Channels
Smartsheet’s built-in workflow automation sends alerts directly to a Teams channel. This is useful for notifying team members about real-time project updates, approvals, or status changes.
Automate Data Updates from Teams to Smartsheet
Teams' meeting application generates an attendance report in CSV format. I set up a workflow using Power Automate that automatically extracts the relevant data from the file uploaded to OneDrive or SharePoint, and updates a Smartsheet sheet. This helps track participation in meetings or training sessions.
Trigger Power Automate from Smartsheet Actions
Since Power Automate lacks a direct Smartsheet trigger, I use Smartsheet’s automation to send emails or messages to a Teams channel. These events can then trigger Power Automate workflows, such as:
- Updating Microsoft Planner with Smartsheet tasks
- Creating a Teams meeting when a specific row in Smartsheet meets certain criteria
- Sending task assignments to a Teams user
Sync Smartsheet Tasks with Microsoft Planner
For those who manage tasks in both Smartsheet and Planner, it's possible to create a Power Automate flow that syncs tasks between the two platforms, allowing users to take advantage of Planner’s visualization tools like boards, schedules, and charts.
Schedule Teams Meetings Based on Smartsheet Data
A workflow can be built where a new row in Smartsheet (with relevant meeting details) triggers the creation of a Teams meeting, reducing the need for manual scheduling.
Use Adaptive Cards for Teams Notifications
By combining Smartsheet, Power Automate, and Teams, you can send interactive notifications using Adaptive Cards. These allow users to take action (such as approving or rejecting a request) directly from Teams without switching to Smartsheet.

I 100% agree. I used that to post things to Smartsheet all day long and now with New Outlook, I cannot. Smartsheet, please enhance this tiny, but might tool to work with Microsoft's update to New Outlook!

This is critical for many of our clients. They use it everyday to track external emails for projects. Without this, they would lose visibility.

Find functionality always starts over
If you do a CTRL | F on a sheet / column, it takes you to the first cell it finds it in and you can progress through the results by using the previous and next functions. However, if you need to change something in the cell, it closes the Find functionality window and when you go back, you have to start over in the list and use prev/next to get back to where you were. We need a way to go back to where we were in the search. Maybe that could look something like the find all functionality of Excel.

I am doubtful any changes to WorkApps will happen as it seems it’s full steam ahead on Collections instead. I’d imagine they will remove WorkApps within a few years.
My only hope is it’s mirrored features (and of course new ones as well) before that happens. Our struggle with current Collections is you have to be shared with source data to see it in Collections, (Either to source sheet or source sheet/report combo). WorkApps doesn’t have that limitation and we use a lot of WorkApps for external facing Reports and we can’t share the source sheet due to sensitive nature or security. Hopefully that will change as they keep developing Collections. Until then I tell my users not to use Collections as it doesn’t work for our needs.

Collections is ANOTHER step back for Smartsheet. Workapps are awesome. They have their own unique UI and URL that is role based and easy to maintain. Basically instead of sending any user to the Smartsheet home pages of hundreds of boxes or workspaces or have them save tons of bookmarks.
You simply just give them the URL to the Workapp.
I do not understand the changes of Smartsheet. Its like they are rolling back features trying to funnel everything to the workspace and directly to the underlying assets, in hopes to have more provisional memberships created to the underlying assets.
Collections is just a poor mans version of workapps. You basically have to create a collection within a workspace for each ROLE that you had in a workapp. So if you had 6 roles in a workapp you would have six collections within that workspace.
Having users in a file manger workspace UI versus the nice UI of a Workapp sucks. We beta tested some Collections of Workapps we have and not a single user likes it. At all. No idea who thought this would be better than workapps.
Collections and the new user subscription model and two huge negatives for us that we are finding alternate software for processes cause if we keep it in smartsheet it adds dozens of members.

I heard at Engage that Collections were going to replace Workapps - and I couldn't believe it… and now in the email announcement - it looks like it is true.
How is this going to be used for Portfolio Workapps? I was JUST getting this going so we have an easier way to share information with our clients.
I agree with @Cathy Salscheider about the need for clearer communication around this - especially since so many of us do not have access to it - even in the EAP because of the restrictions around it. There is no way I can put everyone in the EAP at my company - people already freak out about the little changes that happen that aren't announced.
Since this only available to the people who have opted in their whole org to EAP AND the people on the new subscription model starting in 2025… how is this being thoroughly beta tested?
EDIT: I just saw in the FAQ for the user subscription model and I quote: "Smartsheet Advance is not impacted by the new model at this time"
So for Smartsheet Advance users - how does this work? We have Advanced - and we still don't have Collections…

I'm not sure if you've received any answer on this, but you can see and click on the link within the main view display as shown in the image below. For the details panel, it will always be grayed out as read only since it has a formula in the source sheet cell.
