Hi I'm trying to build a dashboard with multiple workstreams and multiple projects in each workstream. 10 or less workstreams and 7 or more projects. What is the best approach for creating reports and dashboards for this?

    Hi SML

The Smartsheet Solution Center has a PMO template design which is fundamentally:

    • an intake sheet, which then holds 1 row per project. Within that data you could identify Workstream and any other Top level metric that you want to show on your dashboard.
    • A Portfolio Level folder which contains a metric sheet for gathering portfolio data from ALL projects (usually collected via the row in the intake sheet)
    • A Project Folder which is made up of the assets PER PROJECT that you are going to use. These assets are typically a Gannt chart, a project level dashboard with data from the Gannt showing and some reports to highlight key areas of the project.

This template set needs a bit of prior Smartsheet knowledge to really set it up properly, but it's design is suitable for many PMO scenarios. I would recommend exploring that structure to see if it would give you what you are looking for.

    Kind regards

  • Hi,

If you're just looking for a single portfolio dashboard to view all your workstreams and projects, then you can create a report (or reports) that view the full scope of your workstreams and projects, summarising your data. Depending on the complexity of what you require, you may need to create metrics sheets as an intermediate step, so that you gather all the relevant data for each project/workstream into a coherent set of data and then report off those metrics sheets.

If, however, you will want the ability to drill down from that portfolio view and focus on metrics for individual workstreams or projects, you will probably have to create a nest of interlinked dashboards, each with their own reports.

Alternatively, at SBP we have created something called Smarter Dashboards, which allows you to view at the portfolio level and drill down to any level you like, with multiple dynamic filters and the ability to edit selected data directly, all within a single dashboard. If you'd like to know more about this, just drop me a line at james.harris@smarterbusinessprocesses.com.

    Thanks very much,
