transfer profile to personal email address

I found out yesterday that Medtronic will not be renewing my contract, as per legal there is a 2 year max on contracts. So I need to transfer my Medtronic Community profile to my personal (free account) I created. Now I bookmarked the link below from before. However I was unaware of what the timeline involved was. Like once I change my email per these instructions and confirm with the link sent to my new (personal) email address, is it immediate, or does it take a while to get updated.

As you can imagine, we are doing a "transition plan", so there will be no real work done during the next few weeks. Only what I can show others as to what I do. I am only a business Analyst, however you cannot teach basic Excel/Smartsheet users Advanced information in 3 weeks. So I want to provide enough time for the transfer, but still allow myself to get this done.

    It's great you're being proactive! We can change your Community profile at any time, but the key thing is it needs to be done while you still have access to your current email. We need that email to be the one to request the change/removal (for security reasons).

    Since you have a separate Smartsheet account, you'll need to follow the process of Reporting the Community post to get in touch with our Moderation team, providing them with the new email to swap out. If you submit this information today, we can either do this by Monday or on a specified date of your choosing. 🙂

    Since you log in to the Community using your Smartsheet account, if you update your Primary email within Smartsheet, this will then allow you to log in to your same Community profile with the new email (since it's the same account). This will happen immediately! The Help Article linked above goes through the steps for how to change your Smartsheet email.

    However if you are going to be using your personal email with a different Smartsheet account, then in this case please follow the steps in this Community FAQ: Update your Community email address or password

    There are two things we'll need to confirm:

    • The new email has a Smartsheet account (any type) but no Community profile yet
    • The old email (current Community profile) is the one requesting the change - for security reasons

    If you Report that post linked above using the flag icon, I can get that process started for you! We can change the email over either today or on a specific, requested date. That's up to you. A moderator will reach out via direct message to confirm when the process has started and when it will be completed.

    What if my personal email DOES have a profile in Smartsheet community. I dk for sure, but if it does, can it be "overwritten" by my request with the one from my old email? And what is the difference between doing the process myself using the link I provided and doing the "report" process you mentioned. Since my contract is not being renewed, I already have my work day here at Medtronic.

    If your personal email has a separate Smartsheet account and has signed in to Community before, then there are a few options:

    1. If your other account has no content (has never posted) then we simply delete that profile so we can free up the email and swap it out.
    2. If your other account has a handful of posts (up to 5) we may be able to move those over, or leave the content up under a [deleted profile] name.
    3. If your other account has lots of posts, this gets complicated. We have to submit a request to the site provider to have your profiles merged, which is not always a possibility. In this case I would recommend simply linking to the other profile URL in your Profile to show additional content stored somewhere else.


    The difference between the Help Article and "reporting" the Community post comes down to what you're doing with your current Smartsheet account (not Community account).

    So, in this section of the Smartsheet application:

    If you change your email address in Smartsheet, then there's no need to update Community! It will do that automatically, and right away. (It can take up to 3 days for the site caching to catch up and display correctly in your profile, but it will eventually)

    But if your Smartsheet account is being deactivated and you're starting a new Smartsheet account with a new email (signing up again with a Trial or Free plan) then this is seen as an entirely different person in Community, so that's when we would need to help change up your Community profile to link to your new Smartsheet plan. Does that make sense?

    The Community is tied to your Smartsheet profile. Are you updating your Smartsheet account to have a new email? Or will you be creating a new account?

    My personal Smartsheet account already exists. My current account is not deactivated (yet), however after my contract ends, it may be. I don't expect that to happen immediately, as offboarding in generally tends to take forever. This (Medtronic account) is still active, but I want to be proactive and have my profile transferred to my personal account, which is currently a free account. I do not want to lose my Smartsheet Community Profile, and want it to be transferred to my personal email from my Medtronic account. And I have a final date of employment, which is 3 weeks away.
