Eric Stewart

Good Morning!

My name is Eric Stewart and I'm a project manager in Facilities Management at The University of the South in Sewanee, TN. We began using Smartsheet about 6 months ago in our projects team to help track and manage campus wide construction and capital projects. I was tasked with finding software that we could adapt to our current processes without breaking the bank. So far Smartsheet has met that need. I had never worked with Smartsheet before but in a matter of a couple of weeks was able to learn the program and adapt it to begin meeting our needs. We use Smartsheet for the following:

1. Project request intakes - Smartsheet Form
2. Managing a multitude of lists and tables - For example, vendor lists, employee contacts, building lists and addresses, cost codes, etc
3. Project feasibility study process - Sheets in both grid and Gantt view
4. Feasibility approval and project initiation - Sheets, Reports, Doc Generator
5. Project Estimation and Cost Tracking - Sheets automation, data mesh, data shuttle
6. Invoice approval - using Forms vendors submit their invoices directly and through automation it is routed for approvals
7. Contract Management - Doc generator
8. Change Orders - Doc generator
9. Associating In House Work Orders with a Project -
10. Purchase Card Purchases
11. Submittals - work in progress
12. Requests for Information - work in progress
13. Requests for Proposals - work in progress
14. Warranty - work in progress

I'd be interested in collaborating with others who use Smartsheet for facilities and construction management. I feel like I've learned a lot over the last 6 months working with Smartsheet, but I'd imagine it's only the tip of the iceberg. Would be very grateful to learn from others with more experience with the software.

• I am a Program Coordinator for the Health Science programs at Foothill College in Los Altos, California.
• I've been using Smartsheet since 2019.
• The main projects I use Smartsheet for are 1.) to manage agreements with our partner facilities and 2.)to help our programs meet the requirements of their accrediting body. But I am definitely the person in our team who always says, "0h! We can do that in Smartsheet."
• I am sure I would like to sit down with all of you for an hour just to see what you are doing. I know it would give me inspiration and show me ways I can improve my projects.

My name is Kate Prew, I am a Business Manager in the College of Cooperative Education & Professional Studies at the University of Cincinnati. I've been using Smartsheet for a few months. I use Smartsheet right now to handle a lot of the time-consuming tasks, sending automated reminder emails for various topics and moved approval workflows from email exchanges to an automation within Smartsheet. I also use it to auto-generate appointment letters and offer letters that don't run directly through our ATS system. My goal is to use Smartsheet to make my department more efficient and ensure important tasks and deadlines don't fall through the cracks. I want to learn how other colleges and universities use Smartsheet to see if I can utilize it in a way I haven't thought of yet!

Where do you work and what’s your department/role?

Currently, I’m a Business Analyst/PM working for a health insurance company in Michigan in the senior health services division. However, I spent over 20 years in higher ed administration before the private liberal arts college I worked for closed. I decided it was time for a change and pivoted to project management.

How long have you been using Smartsheet?

I have been using Smartsheet for about 2 years.

How are you using Smartsheet today or planning to in the future?

I use Smartsheet to plan and manage projects. I also develop custom dashboards, reports and metrics for various stakeholders. I leverage Data Mesh, Dynamic View and other advanced capabilities to streamline processes. Currently preparing to take the Core Product and Product Management certification exams.

What would you like to learn from your peers in the Education industry?

Use of Smartsheet is growing rapidly at my organization and I’m interested to know what others have put in place in terms of governance, standardization and executive buy-in.

• Where do you work and what’s your department/role?
  Westmont College, Santa Barbara CA USA. I'm the Smartsheet SysAdmin and primary solution developer.
• How long have you been using Smartsheet?
  I've been an avid user since 7/4/11. Someone at Smartsheet once said I was among their first 500 customers.
• How are you using Smartsheet today or planning to in the future?
  I've created dozens of solutions involving hundreds of sheets in over 30 workspaces. I keep finding fun ways to "Make Smartsheet Sing" (the title of a presentation I gave to a national conference of higher ed business managers).
• What else would you like to learn from your peers in the education industry?
  Looking for further give and take, as I love being on the learning curve, plus I've accumulated plenty of insights and tricks that I'm glad to share with others (for instance, my Smartsheet Arsenal).

Hello! I am Project and Policy Analyst with the Housing Facilities group at University of California, San Francisco. I have been using Smartsheet for a few years, and have really started building solutions for the last two.

A few things we've used Smartsheets for are running Key Audits, scheduling our unit turnover process, and managing project budgets. I'm excited to continue to build my knowlege with this tool. I've learned so much from from the community forums here and I'm hoping I can contribute.

• How long have you been using Smartsheet? About 3.5 years, as long as I’ve been with the college!

I have only been using smartsheet since September but am so excited to continue to learn and put it into place to help with grant management, budget control, and ordering. I am Brandon Cupp and I work for Valvoline Global as a Project Manager. At my prior employer I utilized Smartsheet to improve processes by building sheets, helper sheets, dashboards, and reports that interacted with automation to drive the process. My wife is an educator so helping build out time-saving and efficient solutions so that she can teach is a passion of mine. I have also used Smartsheet to build a template set for my team of Project Managers. I will gladly help anywhere that I can in this community. I value the level of simplicity that Smartsheet can create but also how it can be used to tackle very complex processes.
