Dynamic View and Groups

edited 08/12/24 in Add Ons and Integrations

I have a Sheet with sentitive data. I need to share certain rows to Groups of people. Row A, Group Admin SHS can view. Row B, Group Admin BSH can view. Group. Admin BSH should not see Row A.

Groups have been created.

When I go to the sheet, I can't see the groups to add to a row I assume in Dynmaic view, when these Groups log in to see only their data, they need to be assigned to rows in a column…

You cannot filter data by groups, only by individual contacts. Smartsheet Groups are only for sharing and don't work in contact columns.

As a workaround, in your sheet you can identify the group in a column, then have an INDEX/MATCH that looks up that group on a reference sheet and picks up the list of contacts. In your reference sheet you'll need to have two columns…one with the group name to match to, and one contact column with the list of people in the groups.

@Brian_Richardson Are you aware of any way to parse the smartsheet group and display the list of members in a smartsheet sheet?

My goal would be to manage the group members in admin panel, but not have to also update the sheet with the list of members.

@NeilKY Natively, no. There isn’t even a member export function in group mgmt.

Using the API though, through Bridge or another integration tool, you can pull the lists of users for a group and then push the list into a sheet.

@rachmavis - What @Brian_Richardson and @NeilKY are discussing is something we have a Smartsheet Add-On for. We can monitor the groups that have been configured and automatically maintain a sheet with all of the individual contacts listed. Reach out to solutions@infospark.com.au if you're interested in getting more information about how that works. It's a real swiss-army-knife of an Addon because you can use groups in some really cool ways once you know that you can refer to groups in your formulas.

    Cheers,
