Multiple Project Tracker

Hello!

I'm looking for the best way to track multiple projects across my company and also be able to give a high-level dashboard view to my executives.

Which template would work best for this? I liked the Project Management Office, but we don't need an intake form as I would be the only one updating and adding new projects to our board. I also saw the Project Tracking and Roll up Template, but I noticed it was only for one project.

I would like to have one sheet for each project because we work with several teams throughout the organization and having all projects on one sheet will give ppl visibility to other projects that don't pertain to them, but I'm not sure if that's the most efficient way.

I appreciate your guidance!

Setup: Project Management Office - Smartsheet.com

    Hello, @elizabethTMI

The above link takes you to the PMO Template within Smartsheet. I personally have been using this for years.

Allows you to track each project submission on an intake sheet, an overall visual dashboard for stakeholders, and when you spin up a new project, it gives you its own project plan, dashboard, etc.

I made it my own by editing the template to make it work for my company. Such as a budget sheet, weblinks/files, etc.

    Hope this helps!

  • Hi Paul! Am I able to delete the intake form/ sheet and still use the template effectively?

The intake sheet is required. The intake sheet is basically a list of all projects. The intake form is a structured way to populate the intake sheet. You don't need to use the intake form if you want to directly input into the input sheet. I wouldn't advise having multiple people inputting directly to the intake sheet. For the most part, others do not need to look directly at the intake sheet. Use a dashboard and reports to display the intake sheet information.

In the PMO Template, each project has it's own project sheet and dashboard. Individual project members will focus on inputting into their specific project sheet. The intake sheet is mainly for an overall project rollup. It pulls information from the specific project sheet through the Metadata sheet.

It sounds complicated, but it is simple to administer once you understand it. I highly recommend using the PMO template when you have multiple projects that you want to rollup into dashboards and reports. Creating your own method to do this would be difficult.
