Has the report grouping functionality changed to allow more than 2500 lines?

Hello,

We have some regular reports that we pull data from that are grouped and have over 2500 lines. These reports have always hidden the lines because grouped reports can't show more than 2500 lines.

As of this morning I noticed that now my grouped reports have multiple pages at the bottom and I can see the lines within the groupings even though two of my reports are 33,000 and 58,000 lines respectively.

Is this a new functionality? Can it be undone? I used these grouped reports to get summary data from my projects and I didn't need to see the underling data. The groupings would always be shown on a single page and I had summaries applied to the groupings. This way I could get a sum figure based off the grouping I specified, which I would copy/paste into excels and other internal company reports. Now that there are multiple pages I have to flip through all the pages to see the different group summaries, each page shows data for only 2500 lines. This means that my larger report I need to flip through about 24 pages to get the same summary data I used to get on a single page.

Please help, this seems like a recent Smartsheet update that has major effects on how we use reporting. I have attached photos for reference.

    Try to select "Collapse groups" in the Group setting icon of your Report. Hope it works for you.

    Thank you for your response, I did try your suggestion but the reports have already been collapsed by group. I have recently received a response from my Smartsheet help ticket. This is an intended change they see as an improvement based on feedback that users want to see more than 2500 rows on grouped reports. While I appreciate that they want to continue improving Smartsheet, they need to consider organizations that have built reports and processes on existing Smartsheet functionality. They do not intend to make an option to use a grouped report as a summary like was previously possible.

    Our team used the collapsed groups as summaries as well. With over 2,500 records, when the groups are collapsed, it still forces you to click through multiple pages of the sheet and therefore does not show an adequate summary view. When viewing on a dashboard, this no longer shows in a way that is helpful to my clients. If there's voting, I would vote to revert it back - or at least show all the groups on one page when collapsed.

  • Hi, I noticed that the function has reverted, and it is no longer providing the full sheet summary in groups as it used to previously. I am fine with the next page option, as in my company, we have over 15,000 lines, but I need the full view in the report when the data is grouped. Can any one please share some views on this

    My reports no longer display all collapsed groupings beyond 2500 rows, nor do I have a next page option. This has worked for the last year and a half but not anymore for whatever reason. My dashboard is now incorrect. Smartsheet has major flaws when working with lots of data it seems.
