Improving Template Customization: Suggestion for Better Automation Management

I’m reaching out because, as a longtime Smartsheet user, I’ve always valued the tool for its collaborative power. However, I recently encountered an issue with the default automations in templates that I believe could use some attention.

While using a template that included example data (which I genuinely appreciate for context), I discovered that some templates now come with three default automations already active—without clear user notification. Having been deeply familiar with the platform defaults before this change, I wasn’t expecting the shift, and it’s easy to see how this could catch new users off guard as well.

Here’s what happened: I built out a task list, replacing template-placeholder emails with real ones, including my boss's boss and their peer. Unbeknownst to me, one of the default automations triggered task notifications, sending an email to every stakeholder at 6am on a Saturday morning.

My intent was to quietly create a refined framework for our Lead PM—a draft to share later for feedback and alignment. Instead, it was broadcast to everyone before it was finalized or even collectively agreed upon as an approach. This premature "early release" not only disrupted my process but also risked the wrong optics, as it appeared to assign tasks before we were ready.

This scenario could easily be avoided if users had more control over automation settings from the outset.

May I suggest adding a setup wizard or similar feature for templates? Much like the character creation screen in a 90’s RPG game, this could allow users to select which automations and example data they want enabled. A pre-screen or pop-up notification could clarify the default settings, empowering users to customize their setup and avoid unintended consequences.

Smartsheet is an incredible tool, and I believe this small enhancement could further strengthen its reputation as user-friendly and reliable, even for seasoned users like me.
