Hi Smartsheet Community,
We’re currently using Dynamic View to streamline stakeholder communications and project visibility, but we’re running into some limitations and hoping for expert feedback or possible workarounds.
Use Case:
We want to keep external stakeholders informed about their specific projects or tasks without granting full access to the primary Smartsheet. Our goal is to leverage Dynamic View for this purpose, while improving the communication experience.
Ideal Workflow:
- A user (with a Smartsheet license) tags a stakeholder in a comment within the Dynamic View (via the Conversations tab).
- The stakeholder (who does not have a Smartsheet seat) receives an email notification.
- The stakeholder can reply directly via Outlook email, and their response is automatically captured back in the conversation thread within Dynamic View — without being prompted to request access or log into Smartsheet.
Current Challenge:
Right now, stakeholders receive an email but are prompted to request access when attempting to respond or view details — and their email replies are not captured in the Smartsheet conversation thread. This breaks the flow and makes it hard to keep all context centralized in Smartsheet.
Question to the Community:
- Has anyone successfully implemented a similar setup?
- Is there a workaround or integration (possibly with Outlook or a third-party tool like Zapier or Make/Integromat) to capture these email replies into Smartsheet conversations?
- Any plans from the Smartsheet team to support this kind of email-thread communication experience within Dynamic View?
