Number of licenses?

I'm wondering how other folks are using Smartsheet. How do you decide who gets a license versus just emailing rows or publishing editable sheets to be updated from your team? How many licenses do you use for the size organization that you are?

    Only people who need to create sheets need licences.  Editors and viewers do not need licences to see or work in the sheets.

     

    Identify those people in your organisation who need to be able to create sheets from scratch and that will tell you where to start.  Rest assured once people in the organisation atr using it they will see the potential and then the requests for licences will start pouring in.

  • We give our Project Managers (5) licensed users and everyone else is a non-licensed user.  We maintain consistency and control over the creation of project plans and allow others to edit them.  While SmartSheet could serve a lot of purposes in a company, we utilize it for Project Management.   

  • We set a loose rule where <5 owned sheets makes you an "occasional" user, where you do not get a license.

     

    Is there a place where the purchased licenses are listed? People can give themselves licenses at the moment and the number changes daily. It would be nice to know how close to the edge we are.

    Hi Felicia-- If you're on a Team plan, any SysAdmin in your account can view the number of licenses currently in use and the number of total licenses in your account by going to Account > Account Admin > Plan & Billing Info. If you're on an Enterprise plan, this information isn't currently available in-app but can always be determined by contacting your Sales Rep here at Smartsheet. Hope this helps!
