Workflow that Generates a report for signing
Hi,
We have built a form that creates a record for a client hand over inspections but it needs signing. We currently have adobe fill in and sign. What is the best way to get the form into the ipad app to have the client sign?
Can i create a workflow that automatically emails a pdf report for the record to the users email on subbmission so it can be opened and signed that way?

Hi Andrew,
I can think of a few ways to set this up. Does it need to be signed or could it work with an Approval instead?
It can probably be automated entirely with the help of a combination of tools like Zapier and more.
Would that work?
Can you describe your process in more detail and maybe share the sheet(s) or some screenshots? (Delete/replace any confidential/sensitive information before sharing) That would make it easier to help. (share too, andree@getdone.se)

Hi Andrée,
We are wanting the client to sign the ipad for sign off of the final home inspection at handover. Given time is of the essence we want it as seemless as possible.
Ideally we want to avoid the use of 3rd party pay as you go apps.
The process as i want it to be is our user fills in the form on his ipad app. Ideally they would sign the form at the end of filling it out but Smartsheet does not have a signing field. So then i see it as they have to submit the record then produce a pdf report to sign off and save into our project dropbox.

I'd recommend setting up an Automation that would send you a copy of the transmitted form and then you'd print to a PDF that you'd either open in Adobe Sign or Apple Notes for signing.
Process in short:
- User fills in the form
- Submission triggers an Automation that sends the row
- Print/open as PDF
- Open in Adobe Sign or similar for signing (You could add a Signing Field/Column to be included in the PDF for the signature)
- Save file to Dropbox
Would that work?

First of all, Thanks for giving me the helpful answer.
But I have another question Andrée.
If I use the Approval process in Smartsheet for inspection instead of Adobe Sign, Is there any certificate that can prove legally?
For example, 'Adobe Sign' gives a certificate to verify the signature has a power describing 'certified person singed' and 'can not be changed', 'signed time is qualified'...
I wonder the approval process is qualified as a signature system.

You're more than welcome!
When it comes to the legal part, you'll have to decide on your own because the laws are different from country to country. You can see who approved and when and you can lock the row to prevent any changes, but there isn't a certificate.
I got many clients using it or/and the integration with DocuSign.
Would that work?
