Documents attached to row and Docusign?
Hi, I searched the community and what I read make me think this is not possible, however I wanted to ask, so I knew for sure.
When I attach a document to a row and click the generate a document to be sent by docusign. Is there any way to get the attached document to send with docusign? I can't find a way to map it into the docusign.
Thank you

Hi @Kimbh
Yes! You can use Document Builder to map row data to a PDF and then send that out via DocuSign, see: Create and send documents out for DocuSign signatures
Here's a webinar that goes through the functionality in Document Builder: Capture E-signatures with Document Builder

Genevieve

I didn't explain myself well enough. I want pdf I attached to the row using the paper clip to send with the document, or at least a link to the attached pdf. Not the data in cells. I can put a link in a cell but that is not clickable. Thanks

Hi @Kimbh
Ah, thank you for the clarification. No, there currently isn't a way to map an attachment from the row into a document with Document Builder.
It would be useful for the Product team to hear about your use-case and why this would be helpful for you. If you have a moment, please fill out this feedback form.
Thanks!

Hi @Genevieve P. ,
I'd like to echo this request if you could please forward to the Product team. We are utilizing this Docusign workflow to obtain customer approval on change requests that sometimes cost millions of dollars. We would like the option to include CAD documents/ppts row attachments in the Docusign pdf, or alternatively, if that's not possible at least have them as an attachment in the email.
Thanks

We actually have a new way of surfacing these requests to the Product team! If you have a minute, please Vote on this Idea post:

Related to this topic, is there a way to not save generated documents in Smartsheet but instead in my docusign account? We don't have the attachment option enabled in smartsheet due to the location of your servers. Is there another way to store generated and signed documents which isn't Smartsheet? Thanks

Hey @GabyS
When you go to generate an eSign document in Document Builder, you should see two options:
- Save as Draft in DocuSign: Store draft documents in your DocuSign account.
- Send with DocuSign: Send out the rows you selected in the sheet before you started the mapping process.
Here's the Help Article that goes through this:
Let us know if saving it as a Draft works for you!
Cheers,
Genevieve

Hi @Genevieve P. ,
Completed documents signed by both signers should automatically be saved on smartsheet as far as I understand.
However, I am having an issue whereby the document signed by all parties is not saved. It's only saved on docusign.
Any advice on this?
Thanks,
Angelo

Hi @Angelo C.
If your settings have “Save as draft in DocuSign" option selected, then the final document will be stored in DocuSign (as you've found).
The document can be attached to the underlying sheet if the users who are signing it have permissions on the sheet to upload attachments. However if the Draft is saved in DocuSign, then sent out to an external party to sign, Smartsheet won't be able to upload that attachment back to the sheet since it sees the person who signed the document as the "editor". Does that make sense?
Try testing it out with a signing party who is shared to the sheet to see the difference.

Hello @Genevieve P. ,
Thanks for this.
I am using the "send with docusign" option on smartsheet so I was under the impression that once all parties signed a document, the completed document would be saved as an attachment on smartsheet.
However, the sheet wouldn't be shared with external candidates so not sure how to implement that.
I found this article where it says that the completed doc should be attached to the row
"Document builder creates a custom envelope for each row and hands it off to DocuSign to be sent out for signatures. Once a document has been signed by all parties, a fully-executed copy will automatically be attached to the appropriate row in your sheet for safe keeping and quick access."
Any advice?
Many Thanks,
Angelo

Hi @Angelo C.
Thank you for explaining more of your process! You're correct, with "Send with DocuSign" then the finished document should be attached to your sheet again afterwards.
If this is not happening on your sheet, I would suggest reaching out to Smartsheet Support with a full recording of your sheet, your Document Builder workflow set-up (each page), what you have set up in DocuSign, and an example process from start to finish. They'll also need the sheet URL and name.
Thanks!
