Emailing list and tracking responses
Hi,
I'm a bit of a Smartsheet newbie but have managed to set up forms, automated approval workflows etc, so am getting there!
However I've a situation which I feel Smartsheet should be able to help with but have no idea how to do it. Basically:
• I have a list of people and email addresses (most of whom are probably not Smartsheet users within my company)
• They are to be offered a choice of two dates (or either) for training
• I'd like a sheet ideally to track responses so I can quickly see which dates suit people best and whether people have responded
So far the only way I can think of to do this is to manually email everyone a link to a Smartsheet form where they select their availability. However this means I can't keep track of who has responded and who hasn't, as the sheet will only show people who have responded, not those who haven't. It also feels a bit clunky in that they'll have to fill in their names and email addresses again and I'll have to type them all in to Outlook to send the link to the form.
Is there a better way to do this? Thanks in advance for any help! 😀

I'd recommend using the Update Request feature. One row for each person.

@Andrée Starå sorry Andrée, back with another question.
I've set up the manual update automation and have a sheet with rows containing the person's name and a cell with a dropdown box with different dates.
Am I right in thinking that if I send the update request to everyone in the contacts column they will only be able to change the row with the date that applies to them? I.e. Smartsheet knows they are being asked to update their own row if that makes sense?
