Publish Smartsheet with Filter Applied

I have a smartsheet with projects with various statuses. I would like to publish this sheet with a specific filter applied to it. When I publish it no filters are applied.

Any help would be appreciated.

  • On the Share button I do have a default view and filter, but when I publish those don't stick either:-(

    As you have noticed, we do not currently have the ability to publish a sheet with a default filter applied. Please submit an Enhancement Request from the link on the right when you have a moment!

    An alternative would be to create a Report, using the report builder to filter your content, and publish this instead.

    Yes, we need the ability to publish with a filter! I have a sheet that gets hundreds of rows added, and I apply a "today" filter so I don't have to scroll through so many rows to see "today's" transactions. Your suggestion of running a filter to populate a report...can this be done automatically? I have 4 auto-generated reports daily, and I would hope I wouldn't have to manually run a filter and generate a report 4x a day. Too impractical.

    You can still filter on a published sheet, it just won't have the filter applied automatically (you'll have to create/select your criteria each time you open it up).


    In regards to a Report, Filters work differently. These are built in to the structure of the Report and how it is created, which means the Published Sheet will automatically show you the data in the Report based on that filter, yes. See: Publish a Report

  • Any further update on this? We really need the functionality of publishing a SHEET with a filter. Neither a report or Dynamic View handle the parent/child relationship in the same manner as the sheet. Is this a planned update?

  • This seems like a very important capability. I think generating a report is an unnecessarily convoluted way to generate the same result.

  • I could SWEAR that the view that the account user is looking at (filtered, whatever) USED TO be the only thing the publish user would see. Am I crazy? I am like really sure about this. It was often irritating when I would forget to turn my filters off. Now the one time I NEED this feature, it's gone? Really? Or was this just a dream I had??

  • I did take the time to create a report to get to this goal, only to discover I could not share a report with non-Smartsheet user. I cannot expect my clients to sign up for Smartsheet just to get their comments. I'm getting less enchanted with SS, not gonna lie. I just lost well over an hour of my life trying to come up with a 21st-century, single-source-of-truth solution to send my client a doc without having to attach it to an email, it's absurd that's not possible.

    You can publish the report and select that anyone with the link can access it. It will be read-only.

    Yes, you are right, in my furor I mixed my multiple effort results. And thank you for your response. I can indeed share the report to a non-SS user, but the client can't add their comments to a report, because 1. it's a report and 2. it's read-only, so that basically gets me nowhere, I concluded. I need an interactive, published SS grid that shows only the columns and rows that I set for client view. As I said, I swear that in the past if I left my filter on and shared a SS via publish, the publish user would see that view. But it's possible that was the case with a SS shared with another SS user instead. Don't have time to fuss with it. Had to EMAIL an Excel doc, just like 1996.

    You could connect the main sheet with a so-called helper sheet as a workaround and then publish it instead. You can publish the sheet so they can edit and add comments.
