Smartsheet doesn't have a way to see if the email was sent, to whom the email was sent and what was the email that has been sent. We can only see when the workflow last run and work on blind faith that it actually was successful. Only to find out weeks later people aren't receiving the alerts, and there isn't a reason why they wouldn't be.
I have the same issue. Before enabling an automation, I need to test it to ensure it works. While you can test with the run now and set the notifications to go to yourself, you can't see exactly what is happening in the workflow to debug it. I have a workflow now that I cannot figure out why the emails are not triggering when the workflow says it has run successfully. Having some way to view the log of the workflow run and be able to see what criteria passed/failed would be very helpful.
Why not put this information in the activity log? Show us a record of the alerts sent just like the other activity recorded there. Then also add it as an action filter.
I love this idea, and I don't love my workaround, but it works for now. I have my contact info populated in a row with every submission and set all notifications to copy me, so I see when things do or don't send. However, this is not optimal because they become too numerous, so I'm going to discontinue it after the pilot is over.
Anyway, my comment in support of the idea proposed here is that a 'last run' audit trail of each step in the workflow is visible somewhere so that I can see something like:
In this way we can see that maybe Condition 3 is the problem, or that Condition 3 is necessary and not being sent is exactly what we want. Etc. Etc.

This would be a great add to the product. I've had notification issues in the past and there's not a great way to troubleshoot.
I wholly agree and would love to see this in Smartsheet someday soon! Our organization just deployed a massive workflow automation, with intricacies that are intended to effectively facilitate a sort of "project newsletter" weekly, which is emailed out to a list. Being able to see logs for how these are sent, or if there are errors would make it even better, as we are currently stretching the limits of email sending and contact lists (almost 20 recipients for each email).

I would love to see a "Smartsheet Outgoing Email Report" or something to that effect, where you could look at all outgoing smartsheet emails that were sent within a given timeframe, who they went to, & what automation they were triggered from. I currently have many automations set up to notify stakeholders as information is added/updated to the smartsheet. I am trying to reduce redundant notifications and this type of report would make it much easier to get visibility to redundancies and eliminate them!

The idea is to audit all emails triggered by an automation with a date sent and to whom was sent. This data is already in the back end of the system, this just needs to be made visible to admins so we can rely on automated emails as they are very inconsistent and we can't rely on it. It could be added under the current sheet audit log as an "email notification" action.
I checked the Activity Log and confirmed that actions like "Send Row" or "Send Sheet as Attachment" are not recorded. Even though there's an "Automation" filter, it only captures automation rule creation or updatesβnot actual executions such as βRequest Approvalβ or βAlert Someone.β
From what I see, Smartsheet doesnβt seem to log these email-triggering activities at all, except for "Approval Requests," which do have a menu to view their history. Iβve also checked the Smartsheet API and could not find any method that exposes the history of emails sent through automations.
So when the original post says βthis data is already in the back end of the system,β Iβd really appreciate clarification from a Smartsheet employee.
Additionally, in the Admin Center, there is a control under
Security & Controls > Permissions > Notifications and Requests
that allows admins to manage who can receive notifications and requests from people in your organization. However, in practice, organizations often need to allow these actions to ensure workflows functionβparticularly automations like βRequest Update,β βRequest Approval,β βSend Row,β or βAlert Someone.β
This introduces a security gap: even if an organization restricts sheet sharing, disables external publishing, or limits report/dashboard access, users can still use Smartsheetβs system-generated email functions to send sensitive row data externally. This effectively bypasses administrative controls meant to contain data within approved boundaries.
Because of this, itβs critically important for admins to have audit visibility into all outbound emails, whether system-generated through automations or manually sent (such as using βSend Row,β or βSend as Attachmentβ). Both types of emails can include sensitive row-level data, and the security risk is the sameβdata can be leaked, intentionally or unintentionally, outside the organizationβs controlled environment. Visibility into what was sent, when, and to whom is essential for maintaining data governance.
