How Can I Automatically Remove Outdated Rows for Updated Project Data?

How can I automatically remove outdated data from Sheet A in my Smartsheet, which pulls project data (weeks remaining and timeline variance) from multiple project summary sheets? Whenever a project's data changes, Sheet A adds a new row with the updated information, but I want to ensure only the most recent data is shown and outdated rows are automatically removed. What formula or automation can I use to achieve this?

Hello @Khadija Ali you can create a helper column (for example a checkbox) as an identifier of which to be removed then you can create an automation moving the rows where the helper column is checked move to an archive sheet.

  • Thank you @Melissa Yamada, I would have to check the checkbox for the checkbox to be moved. I am hoping to use a date thread and any outdated data can be removed. Is there anyway that is possible?

    hi @Khadija Ali,

what @Melissa Yamada proposed is the safest way to have a view what is removed.

you can also create a workflow triggered by date to repeat every day and add the to you sheet the system column Modified Date … so if something is not modified for a while you can move this row to another sheet just like here: the action would be to move this row to another sheet….

    hope this helps.
