Overallocation flag in sheets

✭✭✭✭✭
edited 12/09/19 in Formulas and Functions

Is there a formula or method to identify if a resource allocation flag is triggered for a given row?  i.e. have another column in the same sheet that is checked/unchecked or true/false if the "red man" flag is on for a given row?

I'm trying to figure out if there's a way to summarize all of the rows in our project sheets with resource conflicts so I was thinking if I could add a true/false or checkbox column that could be tied to the red man flag, then I can create a report that would only show rows with the box checked/true.

Hopefully this question makes sense.  Basically, I want a report that would show me all the "red" resource conflicts in the resource management screen.

    Hi Gordon,

Unfortunately, as far as I know, it's not possible at the moment, but it's a great idea!

Please submit an Enhancement Request when you have a moment.

    Hope that helps!

    Have a fantastic weekend!

  • Hello,

This is exactly the functionality that I am looking for! Since this post was originally made 5 years ago, I am wondering if this is now a feature that is and/or could be made available in the near future. I am also open to hearing about any other suggestions regarding workflows or alternative approaches to generating an "alert" when someone is overallocated.

Thank you so much in advance!

In Smartsheet Forward Q2 2024, Smartsheet revealed that they are working on bringing resource data directly into Smartsheet sheets for action. So… it's coming soon!

This is pretty difficult to setup on your own. You would need to have a sheet with each day or week of the year as a column, and rows filled out with all your contacts. You would then need a report with all the allocation information (start date, end date, assignee, % complete) across your sheets and pivot that by user, start date, and end date. Then you'd need to use that first "daily" sheet with some very clever formulas to sweep through the pivot and figure out what timespan each task covered and what the allocation is for the person for that day.

I tried to do this more generally using just start dates, which works "ok" but is pretty inaccurate and was also painful to setup. So I would suggest waiting a few more weeks and then leveraging the new RM reporting functionality shown in the blog!
