Customizable Permissions or Granular Permission Sets

Often times I find that I need to give further permissions to users, but don't want to give them unfettered access to sheets. Often times my Project Managers need to add an additional item to a drop-down menu, add an additional column to track a specific need, reorder columns to fit their needs, or adjust lanes in card view. All of these changes require Admin access, but don't effect existing reports/dashboards that are created. My request is either the ability to create custom permission levels or create an additional permission level that allows changes that don't effect reports (ie: deleting columns, changing column types, renaming files, adjusting other's permissions).

    As our company's Smartsheet Admin, it's a bit of a struggle that there is no granularity between Editor and Admin within a sheet or workspace. Many of my users need to be able to do things like create reports/dashboards, set up their own Automations, etc. within their own data, but if I grant them full Admin rights, it is too easy for them to accidentally break other aspects of the sheets, such as formulas and other cell links.

    It would be awesome if there was the ability to create specific permission sets to grant to editors that gives them specified Admin abilities without giving full Admin access.

    More specifically I would like to really control what editors can or can't do. I don't think we have enough options as it stands. In a perfect world, I would like to limit which rows an editor can change and which they can't. Maybe by using the contacts column type we could assign rows to certain editors and ONLY those editors. Or perhaps turn off editor's ability to change highlight changes or anything else we don't want them to touch.

    For our needs, more granular permissions would be a big plus. Being able to assign permission to columns and prevent viewers from downloading sheets after an owner has invested a lot of time and skills in creating the sheet. Better control over who can do what.

    Problem: the current user roles are very limited to control structural changes on the spreadsheets, such as add/delete columns, add/delete rows & change columns titles, and letting the user modify cells content.

    Admin / Edit - let the user to change the file structure and modify cells

    ** This creates chaos as anyone that needs to modify cells would also be able to modify the data structure (maybe unknowingly), so reports might not work, workflows might not work, cross spreadsheet checks might break etc DATA INTEGRITY IS AT RISK!

    Viewer / Commenter - do not let the user change the file structure but do not let the user modify the cells content

    ** this denies the user to modify cell content, hence, not very useful for a big working group on which people have to work together and must modify cells - especially because comments, for instance, is not a very useful or practical thing to manage. Important info gotta go to cells!

    Solution: new role, Collaborator!

    PROS:

    this role lets the user to modify cells content but deny access to modify the file structure (add/delete columns, add/delete rows & change columns titles).

    this prevents data loss, enables data integrity, better data management and security.

    CONS: none!

    I think this would be an obvious thing for developers, but there it goes my suggestion ;)

    I'd really like to see the ability for Smartsheet Admin users to be able to modify the permission levels of the existing Smartsheet roles (i.e. Viewer, Commenter, Editor, Admin, etc.). The existing roles provide flexibility in permission levels, but we need a way to modify these (even just slightly) to better fit our user expectations.

    For example, our Project Managers are currently assigned to projects and are responsible for managing project plans, RAID logs, etc. Today, we've granted them only Editor permissions to their project items because we've locked down certain rows and columns that contain profile data that they should not be adjusting. However, Editor permissions do not allow for users to add additional columns, so Project Managers have to reach out to an Admin user to have new columns created per project should they have a niche requirement.

    Ideally, I'd love to see Smartsheet go a step further and allow for clients to create custom roles altogether to fit the unique needs of each client. I feel this would open us up to several process improvements to how we share items in Smartsheet.

  • I would like a β€œJunior” Admin user role, which is actually a licensed user that can create sheets, reports, dashboards and grant permissions. The β€œlimitation” I asked about is within these permissions, to NOT allow edit rights to certain COLUMNS of a sheet (no delete, no edit column properties). This role would be like a new hire for an Admin role, that knows enough to become dangerous until the full Admin knowledge is gained. It can even be an external partner that joined the company as affiliated business and still fully manages their own project toolkits that the "mother" firm sets up for them, but with restricted permissions.

    Ability to adjust user settings more granular than view, comment, edit, admin.

    As an example, I want users till fill in data in certain fields but not alter the file like deleting or adding columns.
