Send Weekly Request to Complete Survey

I am interested in sending each of my team members a weekly Temperature Check survey. I created a new sheet to collect their responses, and a form with the questions.

I believe i have an automated workflow set up so that an alert is sent to each team member every week at 2:00 pm on Fridays.

In the Message, I included a link to the Smartsheet form.

  1. Is this the best way to do this? I do not want to include any columns from the sheet in the e-mail alert, but the message with a link to the form. Is an Update Request better? I couldn't see how I can automatically include a link to the form.

     
  2. I plan to manually enter the week in the sheet with each new submission. (I have a Created by column that auto enters the date of the submission, but I'd like to easily know which submissions were submitted in certain weeks of the quarter.) Is there any way to have the form auto submit the week number (without having to manually change the default value of a hidden field)?

    1. Yes. When you are in the sheet, access the main Forms menu and select "Manage Forms". Below each form is a link. You can copy that and then paste it into the body of the Alert message. This will send the Alert and the link to the form will automatically be there.

    2. You can't get the form itself to input the week number, but you can leverage you [Created by] column. Create a helper column and enter the following...

     

    =WEEKNUMBER(DATEONLY([Created by]@row))

     

    Don't include the column in the form, and it should work for you using SS's autofill feature when new rows are added via the form.
