Collaboration outside our organisation

we want to collaborate on certain rows but not all rows with an external partner.  is there a way we can do this without sharing all the rows in a Smartsheet?

  • I think the update request feature  would be the best solution for this..just search for it and lots of information on how to utilize it.

    Yes, you can use - at least - the following features (I'm linking and quoting the Smartsheet Help articles for reference):

    1. Sending rows  - "You can send a row, or a selection of multiple rows, to anyone via email. This enables you to offer viewing access to a subset of your sheet data, rather than exposing all of it by sharing the entire sheet. (...)"

    2. Sending update requests - "An Update Request is a great way to get a quick update from other people, including those who aren't shared to your sheet (e.g., vendors, clients, and consultants). Update requests can be sent to any valid email address. (...)"

    3. Reports - "Reports allow you to compile information from multiple sheets to only show items that meet the criteria you specify. After creating the report, you can send and share it with others to enable them access to the data set, or publish it to a read-only format to make it publicly viewable."

    Furthermore, here is a great blog article on "how you can share information from your sheet with others, without adding them as a collaborator to your sheet".

     

    We can also mention Web Forms to collect information from external partners, but your question is about collaborating with existing data.
