Share Data Shuttle Workflows?

When someone creates a workflow in Data Shuttle to import data from a CSV file, how can we share this with other team members to support and adapt if required? Also if they are on leave, to enable other to run the workflow.

    Hi @Matthew LeMasonry

No, it currently isn't possible to share the Data Shuttle workflow configuration with another account. The set-up for that workflow is associated with one account. (Please let our Product team know of your feature request by filling in this form, here!)

That said, many team members will be able to trigger that workflow, depending on what that trigger is. For example, if the workflow is based on an attachment, any user can upload the attachment for the workflow. Does that make sense?

If you are looking to transfer workflows because a user has left the organization, you could potentially update the Primary email address associated with the account that owns the configurations. This will allow you to gain access to the Data Shuttle workflows from the new email. Keep in mind this would need to be an email that does not currently have a Smartsheet account. See: Admin Center: Add, Edit, and Delete Individual Users with User Management

    Cheers,

    Genevieve

I'll 2nd @Matthew LeMasonry request! This limitation is extremely problematic and forces you to burn extra workflows by duplicating the same workflow under another person's profile.

It would be wonderful if Smartsheet would enable "ADMIN" privileges to someone that is not the owner.

For example, let's say you create a Data Shuttle workflow and want to take a vacation. During your vacation, something needs fixing in the workflow. You're out of luck!

Also, the product feedback form does NOT have a Data Shuttle dropdown option. I would love to provide additional feedback, but there's no way to direct it to the right group. 😞

    Hi @Joseph Gentile

Thank you for posting your feedback as well, it's good to hear when multiple users have the same request.

Please do also fill out the Feedback Form to contact the Product team with your use-case. Data Shuttle can be found under "Connectors":

    Thank you!

  • I'll 3rd request. Very much needed to structure the data shuttle in a team.

This would definitely be a great feature to add.

  • Agree, this would be a good feature.

+1 to being able to share / delegate workflows. It was surprising and frustrating to find that everyone in our team would need to program in their own version (which then become prone to errors / misalignment)

A key benefit of a collaborative tool should be the ability to easily share data / forms / workflows etc etc

    Thanks!

Ditto. Is there a different location for me to upvote a feature request (like on the Salesforce community?) To help gain visibility, I too submitted this via the form: Allow increased access: a) be able to appoint other admins of a datashuttle workflow, so other people can troubleshoot b) show the load results (updated, deleted, created, filtered, data load error etc.) somewhere in the Smartsheet interface, rather than only having it available to the single person that created the datashuttle.

    Hey @kirstie858

Yes! You can vote on features in the Product Ideas section of the Community.

Here's a link to this specific idea over there: Share Data Shuttle Workflows

Thanks Genevieve. What's the threshold of votes needed to get an idea onto the roadmap?

    Hi @kirstie858

Product Ideas submitted using the Community ideation & vote system are reviewed on a monthly basis by the Product team. They look at the top-voted posts for each month and provide a Status update. The threshold for what is "top-voted" depends on how many votes came in each month so there isn't a set number.

The Community is only one of the many listening channels that Product uses to determine roadmap items. We also receive feedback in the application (the bullhorn icon), the EAP program, the feedback form, direct feedback, and more. This means that the votes in Community are not always representative of the bigger picture - a Community request with what seems to be a high number of votes does not guarantee that feature will be on the roadmap, but it does guarantee extra visibility into the need for that item.

If an Idea is important to you, keep sharing it with others to get their votes and direct feedback as well.

    Thanks!

    Genevieve

  • AGREE...the ability for at least a System Admin to be able to RUN the workflow is very limiting.
