Salesforce / Smartsheet Connector: Automate Workflow or Give Team Members Access to Run Workflow

Hi Team,

I know there isn't a way to give team member access to run a workflow you created. This functionality would be extremely useful in order to prevent single points of failures. Until this functionality is created, I would like to ask, if there is a workaround.

Issue: We need to have multiple resources run the Salesforce to Smartsheet connector workflow OR have it automated so we don't have to manually press "run" every day.

Background Information: I have new rows added to my smartsheet based on new salesforce opportunities that hit a closed won stage. Currently, I have to manually press "run" for the new rows to populate. Is there a way to automate this so I do not have to manually click "Run" and it pulls the information in on a daily basis?

A service account will not work because out accounts have multi factor authentication , routed to our cell phones (so it would still be routed only to one person). :-/

Thanks,

Raquel Dent

    Hi @Raquel Dent

You can automatically update records with a bi-directional setting of "Keep records automatically updated in both Salesforce and Smartsheet"! Then in the fields settings, ensure the direction only goes from Salesforce to Smartsheet.

This would require creating a new workflow, so I would suggest taking screenshots of your current workflow set-up so you have a reference point when building it out.

There currently isn't a way to enable another user to run a workflow from your account, so creating an automated workflow sounds like the better solution in your instance. Please also let the Product team know of your scenario and request by creating an Idea Post in the Smartsheet Product Feedback and Ideas topic here in the Community. This will allow other users to vote on your enhancement idea!

    Cheers,

    Genevieve
