The inability to share a folder makes it nearly impossible to manage a cohesive PMO effectively when working in a matrix organization. We have projects that span many different departments and areas that cannot have visibility to all our projects. Having to add them all each each asset for a project is wasteful. Add on to that the fact that I can't just copy/past e-mail addresses easily to add them and it's a solid 2-3 hour task for some basic projects.

    Re:

    https://community.smartsheet.com/discussion/115701/can-i-share-a-folder-within-a-workspace-to-someone-without-having-to-share-the-whole-workspace

Have spent the last few months reviewing the capabilities and making a test PMO internally with a small group of user and then discovered we can't share a folder with a small team.

Our PMO required Project Folders and Global Folders and we need to provide access the the entire contents of the Folder with eh people at the Project Level and the Global is executive level and needs to see and read all the data in the Project folders.

I don't see how we can make this happen without folder sharing either in Workspace or Sheet Folders and I we are not going to use some account function with user accounts. Some of the users at the project level are low level users that will never need/use an account.

Is this resolvable? The rest of your features make this a nice Solution, but without this feature, we can not implement it full STOP. I can't have project users accessing Global and I can't share/update sheet access one by one for every user.

Half of my company is moving to Jira due to Smartsheets's not being that Smart!

I would love to see thin on the roadmap. I work with a team that has 13 workspaces because of permission issues. As the owner/admin I see everyone's spaces which makes my view really bulky. Please find a way to make folder permissions possible.

Now that smartsheet requires that any newly created items be assigned to a workplace, please provide the option to share a folder within a workspace without sharing the entire workspace.

While this is now possible with collections this solution isn't viable for many users in solving this problem as it's behind the enterprise paywall. Would be great to still have folder level permissions rolled out for all users in some function

I agree I like the idea and would love to see this on the roadmap as well

  • We are using a single workspace to house all of our projects. I don't want to share the entire workspace as their are HR sensitive information. I have some projects that I only want certain regions to see their information and not others. So I created a region folder with dashboards for that region. However, I would have to share all of the individual files because it doesn't give the ability to share the region folder. This would make security access within a large project much easier.

This would be very helpful, this would help eliminate needing another workspace just to share that select data with a select group.

I most certainly wish that this was a feature in Smartsheets. It would save a lot of work by not having to go in and adjust the permission levels on each sheet that's created. This is one of the major shortfalls of Smartsheets that would make it a fantastic tool if implemented.

I am having a very similar issue, especially regarding the ability to provide individuals with admin access.

We are using control center & blueprints, so I am able to automatically provide provision to a very small handful of individuals based on contacts listed in the intake sheet, but that's only one contact per column. We have anywhere from 5 to 15 individuals who need varying levels of access, with 14 different templates in each project. It is incredibly time consuming for anyone to have to go through and manually provide individuals with access to every single individual sheet when they cannot be automatically provisioned the access through the blue print + intake sheet.

Collections almost solves the problem, except that you cannot grant admin level access within a collection. The other major problem with a collection is HOW DO YOU EVEN FIND YOUR COLLECTION? What if you're share to multiple collections? Where do you find them? Literally no one knows how to find their collections. They're having to bookmark one sheet so that they can get into their collection.

I like how with collections you can include sheets and reports from multiple different workspaces. That is really neat. But I think being able to share FOLDERS and grant all levels of access at the folder level is a much more beneficial.

The introduction of collections, at least thus far, does not solve this issue. Our Panasonic solution still absolutely NEEDS the ability to share folders with people, especially the ability to grant admin level access to folders. Especially since there is no easy or user friendly way to locate any of the collections that you've been shared to.
