Changes to Smartsheet login experience: What admins should know

Smartsheet will be rolling out changes to our web login experience in early February 2026.

These changes pertain only to the user login flow and do not affect authentication behaviour, provisioning, or SSO settings.

This refresh improves clarity and reduces friction during sign-in. No action is required – users will simply see updated visuals and a clearer layout when logging in.

To avoid confusion or phishing concerns, we’ll notify all active Smartsheet users via an in-app banner, one week prior to launch.

If you’d like to provide additional notice, a suggested user-facing email template is included below.

Suggested Email Template for End Users

Subject line: Smartsheet login page is getting an update!

Starting early February, you’ll notice an updated Smartsheet login page.

This change is expected and reflects improvements Smartsheet is making to simplify and streamline the sign-in experience.

You’ll see updated visuals, a clearer step-by-step sign-in flow, and your most relevant login option surfaced more prominently.

This does not change how you sign in, your login settings, permissions, account access, or any of your Smartsheet data.

No action is required — we just wanted to give you a heads-up so you know the updated visuals are intentional and safe.

Hi @kmalone51256 — nothing has (or will) be sent to end users other than an in-app banner that is scheduled to be displayed one week prior to launch for all active users. The template above is provided to support admins who would like to personally send additional notice to company end users.

This new experience will detect the login method used by your organization and make that the most prominent option for future logins. For organizations that have implemented SAML SSO ("Sign in with your company account"), it will look as above.

But rest assured — if you sign in with Google, that'll be the clear option!

I agree with kmalone, that is good to know. It would be helpful when sending emails to admins only to address it as such in lieu of using our name.

No; if your users primarily sign in with Google, the login screen will look like the image below. This update simply prioritizes your most-used, most-secure login method.

Correct; this release applies to commercial accounts only, and will not be implemented for Gov at this time.

Does this mean all are sso'ed externally now? Even guest users?

Only Enterprise plans have the ability to enforce SSO or MFA on external collaborators.

If you have implemented any of these external collaborator governance policies, this update maintains those policies and just simplifies the appearance of login for relevent users.

There are no functional/practical changes to policies or authentication mechanisms under the hood; this is about updating the look/feel/and user flow, not your business rules or system behavior.

Our company uses SSO through Microsoft and I saw your comments above similar with Google. When this update releases, will it automatically recognize that we use Microsoft or is there anything we need to do to prevent any disruption to our users other than a simple UI update?

We typically use the 'company login' but on occasion, we need the Email/Password option for service accounts. Will that still be an option?

No action is needed from you. The new experience will automatically appear for users. They can continue using Microsoft SSO as they did before.

Yes, email/password will remain accessible as needed.

That said, since username/password is a more vulnerable form of authentication in general, we recommend using either company SSO or federated SSO (Google, Microsoft, Apple) instead, and/or pairing that with an authenticator app, for multi-factor authentication.

Thanks for the info!
I'm assuming that the most common sign-in is recorded using cookies; if an enterprise rule or a user decides to clear them regularly, would they need to type their email address in that first section each time? I am just trying to understand the change to communicate it more clearly. Not every user may be using Smartsheet that week prior to the change.

Also, we underwent a name change, so the majority of our users are merged using a previous domain which has caused some issues in the past. If a user types in a secondary email that their account is associated with but then the SSO uses their primary email or vice versa, could this cause any issues? Dynamic View has had some issues registering data with the proper account, similar to this, previously.

I understand the intent (and that us users are mostly averse to change 🙂), but not having the "Sign-in with [Insert SSO option]" on that initial menu may be a bit annoying for some who have to do that regularly as opposed to just direct to SSO option.

Perhaps trivial, but can I assume this is based on where the user resides, with AU covering all of Asia, EU covering all of Europe and US covering all the Americas?

Happy to clarify; No, this is not based on where users are located, rather, it relates to the Smartsheet Region your company has adopted. Where we host your data. US is generally the "default" region.

Yes, if the user clears cookies, they must enter their email address next time to see the login options. So, users should not delete cookies regularly unless necessary. If the user enters a secondary email, Smartsheet will show the login option for the primary email address.

Hi @MarjorieP — Thanks for asking! No, this initial launch will NOT impact premium applications.

After we roll out the updated primary login experience, we’ll do a separate launch for premium apps. We’ll send a dedicated notice with timing and details ahead of that release, similar to this one.
