Sign-in requirement for proof approvers/reviewers

Hi all,

Our team is working to streamline a process which includes stakeholders outside our unit. These stakeholders are asked to review/approve proofs.

When a stakeholder from outside our unit is asked to review/approve a proof, they're required to sign in to Smartsheet. I appreciate that they don't need to create an account, but, the sign-in seems to be a sticking point for our external partners who often respond with "why do I have to sign in".

We really like the built-in proof columns which track versions/workflow etc. but are wondering if using an "update request" is more appropriate since it wouldn't require external partners to sign in.

Are there workarounds for this proof process? Any other options to try?

Yes, a sign-in is required for a Proof Reviewer to verify that they are the user who received the invite. This account can simply be a Free account so that there's a login, and it does not need to be associated with your plan at all. Here's more information: Respond to a proofing request

You are correct that Update Requests would not require a sign-in. This is a good solution if you only need them to take a look at the data on the row (including downloading a file attached to the row), without the need to annotate the image or leave notes on specific areas.

    Cheers,

    Genevieve
