Filter Features

Hi.

I have a Smartsheet that is available to internal staff via a view only link on an internal web page. It has come to my attention that when the filter feature on the top row of the Smartsheet is used it does not filter all of the appropriate data.

If the user goes to the specific row and filters there all of the pertinent data filters.

How would I determine if there is an error with the filter formula?

Thank you.

@kstohl i am not sure what you want to filter could you please more clear? Based on the screen shot it should filter all special programs in the Department column. In General maybe a report is more suitable to filter specific needs (you can slice more) .

If my comment helps you, I appreciate a 💡

    Kind regards

This Smartsheet was built prior to me joining my current organization so I'm not sure how it was built. I'm trying to determine why one filter option doesn't result in the same data as the other filter option.

It appears as of the filter feature in the top row pulls much less data than the filter feature for the specific row.

  • Hi @kstohl

Can you post a screen capture of the other filter criteria? This will help us identify the difference.

For example, your one image shows that you're selecting a single option from a multi-select possibility with the criteria "is one of", so it will show rows where this value is selected with others as well.

However is it possible that your other filter is looking for just the exact match of that one value? Filtering out any cells with multiple selections?

Or perhaps is one showing the Parent rows as well?

Seeing an image of the two different filters side-by-side will help a lot.

    Thanks!

Here is a screen capture from the Department column filter

Here is a screen capture from the row Filter feature

    Does this help?

    Thank you,

  • Hi @kstohl

Thank you for this! I believe I understand now - one of the shared and titled filters does not show the same results as when you do it manually.

In this instance, I would recommend editing that titled filter to see how it is built.

    • Hover over the name, you should see a pencil icon on the right
    • Click the pencil icon to open up the same Editing window you see when you manually create a filter

My guess is that the criteria is slightly different versus what you're manually putting in.
