As a Smartsheet Control Center (SCC) admin for a large-scale Project Portfolio Management (PPM) implementation, I’m requesting support for multiple workspace owners or enhanced administrative permissions that allow licensed Admins to move folders and assets between workspaces they administer.
Currently, Smartsheet restricts folder and sheet moves between workspaces unless the user is the Owner of the destination workspace. Even with Admin access and content ownership, users are blocked from moving assets unless they own the workspace itself.
This limitation presents a major bottleneck in our provisioning process, especially in environments where project workspaces are centrally owned by a PMO or system admin, and provisioning needs to be delegated to program managers or leads.
Use Case:
In our environment:
- All project folders are provisioned via SCC into a staging workspace.
- Select TPMs are assigned Admin access to both the staging and destination workspaces.
- Select TPMs cannot move it into the final destination (e.g., ABC workspace), because they do not own the workspace.
This results in:
- Delays in provisioning due to dependency on a single admin
- Inability to scale folder moves across Workspaces
- Governance challenges and additional process overhead
Feature Request:
Support one of the following enhancements:
- Allow multiple workspace owners so responsibility can be distributed to provisioning delegates.
- Allow licensed Admins with full workspace access to move folders into workspaces they administer (regardless of ownership).
- Introduce custom roles or granular permissions for folder moves across workspaces within the same organization.
Impact:
This enhancement would:
- Unlock scalable provisioning workflows for distributed teams
- Reduce manual effort and dependency on a single admin
- Align workspace management permissions with enterprise-grade collaboration needs
