Automated feedback using forms
Hi there,
After we have a speaker attend an event and deliver a speech we have prepared, we would like to automatically send them a form to fill out asking what worked well, what needs further work etc as many speeches are different versions of similar material. I can link the cells from the original event to a new sheet and was hoping to populate the remaining fields with the information on a new 'feedback' form. I know how to automatically ask them to update cells after the event date is in the past, but was hoping it could be done using the form view which is cleaner. Any suggestions on this or a better way to achieve what I am looking for would be welcomed.

Hi Louise,
Would it work to send them a notification with the link to the form? You could prepopulate the form with information. Depending on your specific use case it could also make sense to collect it in the same sheet and then move it to another if you need to.
There are many different ways to set this up.

Yes I think that would work but not sure how to send them a notification automatically once the event date has passed. Otherwise we might need to send the reminder to one of the administrators to remind them to send the form to the Director to complete once the event has passed. Just can't work out how to automatically send the form for feedback once the event has passed.
Any assistance is greatly appreciated

You could set up a notification including the link to the Smart Form that gets sent automatically the day after the event ended.
Event Date (Column with the end date for the event)
Speaker Feedback Date (Column with the formula that sets the date to the next day after the event date)
=[Event Date]@row + 1
The notification would be set to trigger on a specific date, and the date field would be the Speaker Feedback Date. Alert someone would be set to send to contacts in a cell (Speaker)

This is what I'm doing for my own workflow. However, the alert email does not look good to the client ("Speaker", in the above case). Why should they care about the rows and column numbers and internal stuff about Smartsheet? I just want to send a nice email with a link for them to follow...

A URL column in your original sheet can also be sent as one of the shown column values in case you want to custom-generate the URL (e.g. with an ID embedded) (see the "Query Strings" for forms).
