Data Shuttle Failing to Delete Rows on various workflows

Hi there,

Not sure if this is a known issue this is being worked on?

In Data Shuttle, I am using the workflow action "Replace all Target sheet rows with the data from the input file" and on multiple occasions I've had multiple data shuttle work flows give me this error - "Failed to delete (xxx) rows. Please review your target sheet and workflow settings." Nothing has changed, so I'm not sure why the error. Everything looks good on my sheet and in my workflow settings. If I manually rerun the workflow, it'll usually work as expected. (I've had to rerun it a couple times a few instances, but it will eventually work).

Looks like it started a little less than a week ago.

Any ideas?

    Hi guys,

I seem to have found the issue and it was with the recent time change. Because we went back one hour, some of my sheets were getting automation updates from other sources the same time as data shuttle was trying to do its thing.

    Hi MikeS,

I'm sorry to hear you're encountering issues with your Data Shuttle workflows in Smartsheet. The error message suggests that the workflow is having trouble deleting existing rows before replacing them with data from your input file. Here are some steps to help troubleshoot and resolve this issue:

    1. Review Workflow Configuration:
      • Mapping Accuracy: Ensure that the columns in your input file align correctly with the target sheet's columns. Discrepancies can cause errors during the data replacement process.
      • Unique Identifiers: If your workflow uses unique identifiers to match rows, verify that these identifiers are consistent and correctly mapped.
    2. Monitor Data Shuttle Logs: Smartsheet provides improved error messages for Data Shuttle workflows. A yellow caution sign indicates a partial failure, where some data is moved, but issues exist. Review the run log to identify specific rows or columns causing problems.
    3. Check for Recent Changes: Even if you haven't made changes, external factors like updates to Smartsheet or changes in your data source can affect workflows. Ensure that your input files haven't been altered in a way that disrupts the workflow.
    4. Manually Rerun Workflows: As you've noted, manually rerunning the workflow often resolves the issue. This suggests that the problem might be intermittent or related to temporary system conditions.

By systematically reviewing these areas, you can identify and address the factors contributing to the error in your Data Shuttle workflows. Hopefully running through these steps will resolve the issue with as less headache as possible.

    Hi @Hunter Taylor -

Thanks for taking the time to comment and give some suggestions. I have reviewed the workflow configuration and it does not appear that is the issue. This is happening on multiple different workflows, not only one. It happened on two different ones this morning. I am getting the yellow caution sign, indicating it's running, just not correctly. The only info it gives is it failed to delete (xxx) amount of rows. (xxx = random number. 129 on one and 1662 on the other). No recent changes were made, as this started when I was out of town and no one else has access to my workflows.

As I stated before, if I manually re-run them, then that'll typically work. However I have them set up to run at a specific time for a reason. Hopefully it's just a system issue that gets resolved soon. Perhaps there's an admin that can look into my account specifically?

  • Hi @MikeS

Seems like you’ve tried all the usual troubleshooting steps. Since this is happening across multiple workflows with no changes on your end, it could indeed be a system-related issue. If manually rerunning works, it may be worth contacting Smartsheet Support to see if there’s a backend issue or if they can check your account for any specific problems.

I would also try adjusting the timing of the workflows to see if that has any effect—sometimes server loads at specific times can cause intermittent issues. Hopefully this helps.

Let me know if there’s anything else I can help with.
