Can I partially mirror a sheet?

Hi, I hope someone can help me with this.

What I'm trying to do is find a way to automatically share some information from a sheet into another. For instance, I want to have a sheet with all the relevant information for the company's projects, including financial information. Then have another sheet mirror most of it except the financial part. I would need both sheets to update automatically when the other is modified. As I understand it, simply sharing the sheet with the financial columns hidden would be an option, but the problem I see with that is that both sheets would often need to have someone working on them simultaneously, and that would expose the financial info frequently.

 

Is there another way to do this?

    Ernesto,

    If I am understanding your question properly, that is very simple to do in Smartsheet. Your first sheet would contain all project information, including the financial data. That would be shared with anyone required to update/maintain the data contained within that sheet.

    The easiest way to present the second part of your request--the limited data set with no financials--would be to create a report pulling from the first sheet those elements that you want to share more widely. That report would be shared with the others that only need the smaller subset of data.

    You could also present that report on a dashboard, if there were other Smartsheet elements that you want to share in a single view. Both the report and dashboard dynamically update when the underlying data is revised and saved.

  • Hi Steve, thanks for the reply,

    I thought about that, but there's a problem with that. Both the full sheet and the smaller sheet need to be edited. If I do it through a report, this report cannot be modified, only the full sheet with the financial data. I understand that once the full sheet is modified, the report is automatically updated, but there will be instances when the smaller sheet will need to be edited for the info to appear in the full one, and that can't be done with a report.

    I tried to build report as you suggested, but it seems like if the financial data is a subset of the sheet, the sheet needs to be shared with the viewer first, otherwise the report will be blank. But if the entire sheet has been shared with the user, it will not make any sense to hide any financial data. Is that correct?
