Option to Toggle off Admins Receiving Access Request Notifications

With the new update rolled out last month, all sheet/workspace Admins now receive access request notifications instead of just the Owner. This is causing major headaches for the large corporation I work for.

We have thousands of users and many do need Admin permissions to perform their tasks in workspaces. However, they do NOT need to be reviewing and approving asset access requests. It's also incredibly annoying to everyone that unnecessarily receives these notifications.

We would like the option to change this setting to only allow Owners and Asset Admins receive these notifications.

The only fix I've seen offered so far is to lower peoples permission level. However, this does not work for our company. It would cause an unnecessary burden on our teams to demote everyone to Editors and then have to go in and give Admin permission to any specific assets within a workspace that people need.

On Roadmap · Last Updated

We are looking at introducing a new permission on Smartsheet assets between Editor and Admin. This new permission set will be able to update filters, column properties, and more... but will not receive access request notifications. While we don’t have an ETA for this release, we would love to hear your feedback on what this permission level should be able to action. Please add your comments below!

    Thanks for continuing to bring it up @meb_0101! It continues to be a massive issue for us as well. Big time suck for me to have to go through the link to approve the request, see access has already been granted, go through smartsheet to find the item because the link doesn't work anymore, remove the person from the item the access was granted to, and add them to the group that we use for granting access. If the requests just came to me and my team, we could avoid wasting a lot of time for ourselves and the other admin.

    @Acacia Absolutely! I really want to see this updated ASAP as it absolutely did not improve our experience with Smartsheet. We have an Enterprise account and have been heavily invested in Smartsheet as a company for years. However, if this isn't updated soon, it will push us to find another service.

    I feel your pain. We're dealing with the same issue. It's added an unnecessary burden to teams like ours!

    In response to the update that this is on the roadmap now (YAY!):

    Why not just make it the same permission level as Admin with the only change being these users do not receive access request notifications? That would work perfectly for my company's use and I would assume make this update easier, too.

    Just chiming in to say we are also in a large corporate environment and this has wrought havoc on our access lists. I'm glad to see it is on the roadmap, but would like to toggle admin's receiving these requests to off, I do not want to deal with another permission level. Similar to Sharepoint, another solution would be to just have a user you can elect as the "access gatekeeper." I'm not sure why the choice was made to switch access requests, many in my company have come to me asking what they did to ruin their workspace, this has just been a miss all around.

    @jackkelley I agree. It would be preferred to have the option to just toggle off vs dealing with another permission level.

  • Will additional permissions be added. We have a number of senior leaders with admin permissions who now receive alerts notifying if someone can have access to a sheet or report. They do not want to be receiving all these alerts but they do want admin permissions. So will an additional permission status of Admin be created, so you can have an admin that can be alerted to the new requests and just normal admins?

  • I'd also love an update as this has been a pretty major aggravation as well as security concern for my company. We have an enterprise plan as well and I'm a little shocked this is the current state of things given that I need to add individuals as Admins at times but they in no way should be granting access to just anyone requesting it.

    It's made us really limit how we can use Smartsheet and where we can't limit we're open to the wrong people gaining access to privileged information.

  • I am also voicing my concern. This was a huge misstep by Smartsheet. We're a large corporation as well and now have Directors and Executives getting emailed for Access Requests. This is not appropriate.

    Further more, the Access Requests doesn't even seem consistent. It seems Smartsheet randomly selects other Admins to receive the notification over others. How is this supposed to function?

    When is the supposed fix being released?

  • Same here - not only did I have to demote our most senior leaders from Smartsheet admin access to keep them from getting notifications, I also have to answer dozens of explanation emails every time one of these request emails goes out. There are too many people in SS for this to be sustainable. Please fix, or let us remove the button to request access.

    It's disappointing this issue still has not been resolved especially because it was created with an update (honestly not sure who thinks this is better?). The lack of action on this is one of the reasons my company is considering other options. I really don't want to have to migrate off of Smartsheet because we have spent years with it, but this is unacceptable.

    It's clear Smartsheet doesn't care about clients. It has potential if they would focus more on implementing functional ideas that customers are asking for in a timely manner.

    has there been any update on this? I have employees now getting spammed with the sheet request emails that have nothing to do with them in our shared workspace.
